  • Perform other administrative tasks as assigned by the executive

Work Schedule: 9:00 AM-6:00 PM (AEDT) | 6:00 AM-3:00 PM (PH Time)

We are seeking a dedicated and proactive Admin Assistant to join our growing team. The Admin Assistant will provide high-level administrative support to the executives, ensuring efficient operations and effective communication within the organization. This role involves facilitating contract renewals, handling basic bookkeeping and marketing tasks, and coordinating various administrative activities.

Bookkeeping and Admin
  • Process monthly invoices and billings.
  • Reconcile accounts, including credit card reconciliation.
  • Schedule and coordinate firewall renewals, including quotations.
  • Track annual license expiries and send proactive renewal reminders.
  • Oversee contract renewal schedules and ensure timely follow-up with customers.
  • Perform other administrative tasks as assigned by the executive.

Requirements

What You Bring
We’re looking for someone with:
  • Bachelor’s Degree in Business Administration, Communications, or a related field.
  • At least 3+ years of experience as an Executive Assistant or in a similar administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Ability to multitask and prioritize effectively in a fast-paced environment.
  • Strong attention to detail and accuracy.
  • Ability to work independently and as part of a team.
  • Basic knowledge of bookkeeping principles and marketing concepts.
  • Experience with ticket management systems is a plus.
