Roles & Responsibilities

  • 1-2 years of experience in customer service, dispatch, or related role with availability after 4pm CT (US).
  • Strong written and spoken English with professional email etiquette and the ability to engage with clients and donors effectively.
  • Tech-savvy with experience using help desk systems, MS Office (Excel, PPT), Google Maps, and data entry; familiarity with AI tools preferred.
  • Attention to detail with ability to follow scripts and protocols precisely, ensuring accurate record-keeping, compliance with procedures, and proactive scheduling management.

Requirements:

  • Paperwork Documentation Tracking: Confirm receipt of uploaded paperwork, track submissions, and ensure all documentation is properly recorded, communicated, and organized systematically.
  • Call Handling Dispatch: Monitor incoming jobs through the help desk, make outbound calls to schedule collections, and dispatch assignments to field collectors efficiently.
  • Client Donor Assistance: Provide clear instructions to clients and donors, ensuring they understand the testing process, required wait times, next steps based on provided scripts and guides. Respond promptly and professionally to emails and inquiries.
  • ETA Coordination Updates: Use Google Maps to provide accurate estimated arrival times to clients and notify them of any scheduling changes or delays, ensuring smooth coordination.

Experience & Availability: Minimum 1-2 years in a customer service, dispatch, or related role, with availability after 4pm CT (US). Must be efficient in scheduling and organizing tasks. Strong Communication Skills: Excellent spoken and written English with a professional, upbeat personality, strong email etiquette, and the ability to engage with clients and donors effectively. Tech-Savvy & Organized: Comfortable using a help desk system, MS Office (Excel, PPT), Google Maps, and data entry. AI tools familiarity is preferred. Attention to Detail: Ability to follow scripts and protocols precisely, ensuring accurate record-keeping, compliance with procedures, and proactive scheduling management. Adaptability & Problem-Solving: Quick thinking in handling donor-related scenarios, coordinating dispatch tasks efficiently, and creatively improving processes when needed.
