About the Role

As a Fund Operations Senior Associate on the Distributions Team, you will play a critical role in executing distributions across Belltower’s portfolio of investment funds. The Distributions Team sits within the Fund Accounting Team and is responsible for ensuring distribution events are executed accurately, efficiently, and with appropriate operational controls from initiation through completion.

This is a highly operational and detail-intensive role at the intersection of fund operations, investor activity, treasury, and fund accounting. While accounting experience is not required, successful candidates will have experience working with investment funds and an understanding of the operational lifecycle of private equity, venture capital, or similar closed-end investment vehicles.

The Fund Operations Senior Associate will report to the Distributions Team Manager and collaborate with Fund Accounting, Services, Legal/Compliance, and Tax teams. This role is well-suited for candidates who are highly organized, eager to learn, process-minded, and comfortable owning time-sensitive workflows where accuracy matters.

You will help manage distribution workflows across multiple funds and entities, coordinate with internal teams and external partners, review supporting documentation and fund data, prepare and track payments, resolve exceptions, and ensure distribution activity is accurately reflected across Belltower’s systems of record.

You Will:

  • Review distribution requests and supporting documentation for accuracy, completeness, and operational readiness before payments are initiated.
  • Coordinate cash distribution and wire workflows, including preparing payment instructions, tracking required approvals, monitoring payment status, and resolving failed or returned payments.
  • Review investor and fund data, including ownership information, payment instructions, distribution allocations, and other relevant records, to ensure information is complete and consistent across systems.
  • Investigate and resolve discrepancies, exceptions, and operational breaks, escalating material issues when appropriate and following them through to resolution.
  • Maintain clear documentation and audit trails supporting distribution calculations, approvals, payments, and other key decisions.
  • Identify recurring operational issues and drive process improvements that increase distribution speed, reduce manual work and errors, and strengthen controls.
  • Contribute to the development and maintenance of standard operating procedures, controls, and documentation as the Distributions Team scales.
  • Evaluate existing workflows with an automation-first mindset and identify opportunities to use technology and AI to improve efficiency, scalability, and accuracy.

You Have:

  • 2–5 years of relevant experience in private equity, venture capital, private funds, fund administration, or investment operations.
  • Experience supporting middle- or back-office operations for private investment funds, with exposure to distributions, capital activity, treasury/payments, investor operations, or similar fund life-cycle activities.
  • A working understanding of private fund structures and the operational relationship between funds, investors, portfolio investments, and fund administrators.
  • Experience working with high-volume, detail-oriented operational processes where accuracy, controls, and deadlines are critical.
  • Strong attention to detail and the ability to review financial and operational data, identify inconsistencies, and investigate discrepancies.
  • Strong written and verbal communication skills, including communicating issues clearly, escalating appropriately, and keeping stakeholders aligned.
  • Strong Excel or Google Sheets skills and comfort working with financial data and large data sets.
