The Opportunity:

The Senior Manager, Clinical Study Contract Services (CVO), will lead and provide operational support for clinical trial vendor and site payment activities. Working with minimal supervision, this individual will manage payment-related operations and must have oncology experience. This position reports to the Director, Clinical Vendor Outsourcing.

Specifically, you will be responsible for:

  • Oversight and management of all payment/invoice related activities for Vendor and Clinical site contracts, including CTAs, ICFs, patient travel & reimbursement plans, work orders, and change orders.

  • Serve as a point of contact and subject matter expert for clinical payments to business partners.

  • Liaise with Legal Compliance on transparency/Sunshine reporting. Participate in the development, implementation, and maintenance of internal tools for clinical payments management. Coordinate with internal stakeholders, including the Site Contracts Team, Clinical Operations, Finance, and Legal to establish payment arrangements for each clinical trial.

  • Manage the payments operations/resources for CRO, vendor and site contract payments to ensure that they are accurate and timely:

    • Entry, calculation, and payment costs (payment schedule).

    • Delivery of sponsor invoices, accruals, and reports.

    • Payments made per executed contract. 

  • Oversees day to day with vendors related to payments on metrics, reporting, product enhancements, and escalations.

  • Managing and tracking payment and invoicing for actual spend vs budget to provide to finance.

  • Attend study finance meetings.

  • Coordinate internal signature process of agreements. Conduct payment reconciliations.

  • Manage creation/amendment of purchase orders.

  • Track purchase Orders, ensuring that the amount of the PO remains sufficient throughout the study.

  • Review invoices against budget and receive approval from project manager.

  • Ensure approved invoices are sent to A/P.

  • Conduct bi-monthly meetings with Clin ops project manager to ensure payment timelines are being met.

  • Identify areas of improvement and develop processes to increase and improve productivity.

  • Proactively and clearly communicates across functions to ensure that study budgets are set up and configured appropriately and accurately for all payments.

Required Skills, Experience and Education:

  • BS degree or equivalent degree/experience. Minimum of 10 years clinical/vendor payment experience in the pharmaceutical or biotech industry.

  • Minimum 6 years vendor and contract payment experience with a sponsor company or CRO managing various phase clinical trials.

  • Strong interpersonal and organizational skills are needed, with a high degree of attention to detail.

  • Understanding of the drug development process.

  • Motivated self-starter who can work in a fast-paced environment.

  • Creative problem solver with good communication and written skills.

  • Proficient with the MS Office Suite especially Excel.

  • Ability to work with minimal direction.

  • Thrives in a collaborative team setting and is driven by a desire to deploy innovative approaches and technologies in a high-energy environment.

  • Demonstrated ability to multi-task, prioritize options, anticipate challenges, and execute goals as a member of an interdisciplinary team is extremely important.

  • Oncology drug development.

Base Pay Salary Range$150,000—$189,000 USD
