At Xpera, we know that our people are at the heart of everything we do. We’re looking for a detail-oriented and collaborative Payroll Specialist to join our Finance team in a permanent, full-time role. This is a fully remote position open to candidates across Canada.

Reporting to the Payroll Manager, the Payroll Specialist plays an important role in ensuring our employees are paid accurately and on time. Working closely with our Human Resources (HR), Finance teams, and employees across the organization, you’ll help ensure payroll processes run smoothly, employee records remain accurate, and payroll activities comply with company policies and applicable federal and provincial legislation.

In this role, you’ll support day-to-day payroll processing, maintain confidential employee payroll records, respond to payroll-related questions, and assist with reconciliations, reporting, and year-end activities. You’ll have the opportunity to collaborate with colleagues across departments, contribute to process improvements, and help deliver a positive and reliable payroll experience for our employees.

What You Will Do:

  • Process bi-weekly and other scheduled payrolls accurately and on time, ensuring compliance with company policies and applicable federal and provincial legislation.
  • Review and process employee hours, overtime, vacation, sick leave, statutory holiday pay, bonuses, commissions, deductions, and other payroll adjustments.
  • Process employee changes, including new hires, terminations, transfers, salary adjustments, and other updates, ensuring proper authorization and documentation.
  • Maintain accurate and confidential employee payroll records and information within payroll and BambooHR.
  • Respond to employee payroll inquiries, investigate discrepancies, and resolve issues in collaboration with employees, HR, and management.
  • Reconcile payroll registers, general ledger accounts, deductions, benefits, garnishments, and payroll liabilities; assist with journal entries, accruals, and month-end and year-end reporting.
  • Assist with payroll remittances, statutory filings, T4s, T4As, Records of Employment (ROEs), and other required payroll documentation.
  • Support payroll audits and government inquiries by maintaining accurate records and providing required documentation and reports.
  • Assist with payroll system maintenance, testing, enhancements, data validation, and process improvements to improve accuracy and efficiency.
  • Collaborate with the Payroll Manager, HR, and Finance teams to support payroll reporting, resolve data issues, streamline processes, and meet departmental deadlines.

What You Will Bring:

  • A post-secondary education is preferred, particularly in related fields such as Finance, Business, HR, or similar disciplines with experience in the private and/or public sector. An equivalent combination of post-secondary education and relevant experience will also be considered.
  • At least 5 years of experience in payroll or accounting.
  • Experience working with payroll and HRIS systems, with the ability to navigate systems efficiently and maintain accurate employee data.
  • Payroll Compliance Professional (PCP) designation, or progress toward obtaining the designation, is considered an asset.
  • A solid understanding of payroll deductions, statutory requirements, and applicable employment standards.
  • Exceptional attention to detail and a commitment to delivering accurate, reliable results.
  • A high level of professionalism and discretion when handling confidential employee and payroll information.
  • Strong communication and customer service skills, with a collaborative, solutions-focused approach to supporting employees and internal stakeholders.
  • Strong Microsoft Excel skills and confidence working with payroll data, reports, and reconciliations.
  • Strong organizational and time-management skills, with the ability to prioritize competing demands, manage multiple tasks, and adapt effectively in a fast-paced environment.
