Job Role: Admin Assistant

Compensation range: $1,300 AUD - $1,800 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Who We Are: At Hunt St, we help Australian companies hire top remote talent in the Philippines. For this role, you will be engaged directly by the client as an independent contractor. We are not an outsourcing agency. All of our roles are 100% remote so you'll be able to work from home.

Who The Client Is: Our client is an established Australian financial services business supporting businesses and investors with flexible funding solutions.

The company works closely with clients and professional partners to provide practical financing options, with a strong focus on responsiveness, clear communication, and efficient deal management.

The team is currently small and collaborative, with around eight people, and the business is entering an exciting stage of expansion. As operations continue to grow, they are strengthening the team and putting the right people and processes in place to support the next phase of the business.

This role will be an important addition to the team, providing the opportunity to contribute directly to the business as it continues to scale.

Role Overview: We're looking for a reliable, highly organised assistant to support our lending and operations team.

You'll keep loan applications and day-to-day administration on track so our Australian team can focus on clients, brokers and lending decisions.

You don't need to be a finance expert from day one. Attention to detail, initiative, energy and the ability to learn quickly matter most.

Key Responsibilities: 

  • Loan administration: Enter and update applicant and loan details, check that required documents have been received and correctly filed, maintain application status records, and prepare files for assessment and settlement.
  • Follow-ups: Chase outstanding documents and information from brokers, clients and team members, professionally and promptly.
  • Broker and client support: Handle admin enquiries and make sure information passes accurately between brokers, clients and the team.
  • General administration: Manage emails, update the CRM and internal trackers, maintain digital files, prepare spreadsheets and reports, and help schedule meetings.
  • Process improvement: Spot bottlenecks, suggest better ways of working, and support the team during busy periods when fast turnaround is needed.

Requirements

  • At least 2 years of experience as a Virtual Assistant, Admin Assistant, Loan Processor, Finance Assistant or similar.
  • Excellent attention to detail, organisation and time management.
  • Strong written and spoken English.
  • Confidence with Microsoft Office / Google Workspace, and strong Excel or Google Sheets skills.
  • Comfort learning new software and systems.
  • A reliable, proactive approach and the ability to work independently.
  • The discretion to handle confidential financial information appropriately.

Nice to have:

  • Experience in Australian lending, mortgage broking or finance administration.
  • Experience with loan applications, financial documents and CRM / loan-management software.
  • Experience supporting an Australian business and familiarity with Australian business terminology.

What Success Looks Like

You'll become a reliable extension of the team, so that applications are organised and progressing, documentation is complete and easy to find, outstanding items are followed up quickly, records are accurate, and our lending team spends less time on admin and more time on deals and relationships.

As the business grows, so will this role. We're looking for someone who wants to grow with us, not just fill a seat. For the right person, there is a clear path to take on more responsibility over time, such as loan processing, settlement coordination and deeper involvement in the lending process.

You'll work directly with our Australian team, learn how a private lender operates from the inside, and have the chance to shape how we work as we scale. Strong performance will be recognised, with reviews as your skills and responsibilities increase.
