Job description

Job Title: Household Manager & Family Assistant

Location: Rhinebeck, NY 12572

Employment Type: Part-time | 10 guaranteed hours per week, with the opportunity for additional hours (typically around 15 and up to 20) based on family needs and candidate availability.

Schedule:

  • 2-3 days per week, with Thursdays required
  • Flexible mid-morning start time, typically 10:00–11:00 AM
  • Thursdays require extended availability into the evening to provide occasional date-night coverage
  • Flexibility for occasional evenings/date nights, overnight stays, and family travel appreciated

Compensation: $35–45 per hour based on experience

Start Date: ASAP

Requirements

  • Must have a valid driver's license and reliable transportation.
  • Ability to lift up to 50 lbs and perform physically active tasks throughout the workday.
  • Maintain a smoke-free environment.
  • Must be authorized to work in the United States.
  • CPR and First Aid certified, or willing to obtain certification.
  • Experience working with children and families is a must; experience in administrative or hospitality roles a plus
  • Tech-savvy and excited to use and implement collaborative tools
  • Candidates are required to be up to date on recommended vaccinations in line with American Academy of Pediatrics and Centers for Disease Control and Prevention guidelines (including Tdap, MMR, Hepatitis A/B), subject to applicable legal accommodations.

We're a small, active household in the Hudson Valley — two parents who mostly work from home, and one energetic kindergartner who keeps things lively. We recently made a big move to the area and are still finding our rhythm. We're organized, detail-oriented, and thoughtful about how our home runs — and we're looking for someone who shares that sensibility.

Our home is a warm, welcoming space. We host family regularly, value quality in the details, and care deeply about the environment we've created. We want our home to feel easy and calm — not something we have to manage on top of everything else. Grandparents visit often, and we love having guests, which means there's always something to anticipate and prepare for.

We're genuinely collaborative and are looking for someone who’s proactive and comfortable working together with our family while taking ownership of the systems, logistics, and details that keep everything on track. We want a true partner in running this home — someone who notices what needs attention, brings solutions, and communicates clearly. You bring options and recommendations to the table, not just completed tasks, because you understand that the people you work for want to stay involved in decisions that affect their home.

You're tech-savvy and comfortable managing schedules, lists, and communication through tools like Slack, Trello, and shared calendars. You're handy enough to hang a picture or assemble a piece of furniture, and energetic enough to handle physical tasks that are part of keeping a busy household running. You love kids and are genuinely excited to be a positive presence in a child's life — not just an extra set of hands. You're discreet, reliable, and someone this family can trust completely.

Key Responsibilities

Household Systems and Management

  • Build and implement household systems that create structure, consistency, and ease throughout the home
  • Own the household reset upon arrival, including tidying surfaces, managing dishes, resetting high-traffic areas, and preparing the home for the bi-weekly cleaning team
  • Keep high-traffic areas organized and functional, including the mudroom, garage, entryways, porches, and outdoor living areas
  • Help the family prepare the home for guests and manage the details that make hosting easier; ensure guest spaces are ready to receive visitors
  • Proactively manage recurring household maintenance and upkeep, including batteries, light bulbs, smoke detectors, and other routine needs
  • Assist with maximizing the functionality of a space, such as hanging artwork, installing floating shelves, and assembling small furniture items

Family Support & Child Assistance

  • Administer occasional school bus pick-up support as needed and afternoon supervision, including prepping after-school snacks, and helping child settle into afternoon routine
  • Provide childcare on Thursday evenings to support a standing date night; responsibilities may include dinner prep, playtime, bedtime, and light cleanup
  • Support and reinforce age-appropriate independence, ensuring child follows through on established routines, including self care and tidying up their own belongings

Inventory & Errands

  • Own household supply management, including maintaining inventory, anticipating needs, and keeping pantry and household essentials consistently stocked
  • Manage household purchasing, subscriptions, and recurring orders across retailers and services, including Amazon and grocery delivery
  • Coordinate grocery shopping and deliveries, returns, gift purchases, and other household errands, including holiday gift wrapping, and holiday crafts preparation
  • Provide mail and package handling, including actively unsubscribing from junk mail and keeping mail piles organized, and handling returns
  • Conduct occasional transfer station runs for bulky or oversized items (ability to lift 50+ lbs required)

Meal Support

  • Help with occasional meal and food preparation as needed, including prepping fruits and vegetables, ingredients measured and staged
  • Provide occasional school lunch prep
  • Oversee kitchen maintenance and ensure appliance clean cycles are run, surfaces and equipment are maintained in good order

Laundry & Linen Care

  • Ensure child’s laundry is washed, folded, organized, and put away as needed; include child’s participation in laundry routine
  • Help to organize and maintain a cohesive and functional linen closet, including laundering dish and bath towels
  • Maintain a tidy, well-stocked laundry area


Vendor & Property Oversight

  • Assume vendor coordination from the current property manager and serve as the main point of contact for lawn care, landscaping, arborist, pest control, pool company, and other vendors as needed
  • Coordinate pool maintenance scheduling and seasonal closing; evaluate service frequency and present recommendations
  • Schedule and oversee routine and seasonal home maintenance (HVAC, inspections, etc.)
  • Coordinate specialty vendor tasks such as exterior window cleaning; research and vet new vendors as needed
  • Manage family vehicle maintenance scheduling: oil changes, inspections, and key fob battery replacements
  • Potential to provide support for a property in Sullivan County during transition period: coordinating items for sale, donation pickups, and general property readiness

Administrative & Personal Assistant Support

  • Manage household calendar: schedule and confirm vendor appointments, maintenance visits, and recurring tasks
  • Provide event detail support and present curated options with recommendations (vendors, services, travel logistics, event ideas)
  • Coordinate travel logistics including pre-arrival grocery orders, reservations, and destination prep
