Job Summary

The Operations Quality Specialist is responsible for conducting independent quality audits and reviews of operational transactions, including time sheet processing, invoice entry, and purchase order activities, to ensure accuracy, completeness, compliance, and adherence to established policies and internal controls. This role serves as a quality assurance resource to operational teams by identifying errors, documenting findings, monitoring quality trends, and providing feedback that supports risk mitigation and continuous improvement. To maintain appropriate segregation of duties, the Operations Quality Specialist does not perform transaction processing, data entry, approvals, or corrective actions. Instead, the role focuses on quality oversight, compliance monitoring, training support, and quality performance analysis.

Key Responsibilities

Quality Assurance & Audit Execution

  • Perform quality audits and reviews of timesheet data entry and processing, invoice data entry and processing, and purchase order processing.
  • Validate transaction accuracy, completeness, and consistency across systems.
  • Execute quality control reviews in accordance with established standard operating procedures (SOPs).
  • Review rejected transactions and provide timely feedback to supervisors.
  • Consistently perform at or above established Quality Assurance performance metrics and KPIs.


Compliance, Risk Management & Internal Controls

  • Ensure transactions comply with company policies, procedures, and internal control requirements.
  • Maintain independence from transaction processing activities to support segregation of duties.
  • Escalate high-risk, recurring, or systemic issues to leadership as appropriate.

Case Management & Customer Support

  • Validate and manage cases that follow-up by external customers.
  • Serve as a subject matter resource and first-level support for processors on quality-related inquiries.

Documentation & Reporting

  • Maintain audit documentation and supporting evidence.
  • Document audit findings clearly, accurately, and objectively.

Communication & Stakeholder Collaboration

  • Communicate errors, exceptions, and compliance concerns to supervisors for resolution.
  • Review rejected transactions and provide timely feedback to supervisors.

Training & Knowledge Sharing

  • Support onboarding and training of new team members on operational processes and quality standards.

  • Ability to provide constructive feedback and coaching recommendations to supervisor.
  • Ability to consistently achieve departmental Quality Assurance KPIs and service level expectations.

Qualifications:

Education: Bachelor’s degree in business, Finance, Accounting, Operations Management, or a related field; equivalent experience may be considered. Substantial professional experience may be considered in lieu of a formal degree.


Experience: 2-5 years of experience in operational quality assurance, auditing, shared services, payroll operations, accounts payable, procurement, or related administrative functions. Experience in a high-volume operational or shared services environment. Working knowledge of purchase order, timekeeping, invoice processing, or other operational transaction workflows.

Compensation: $22.60 - $26.83 / hourly

This role is eligible for a base salary within the posted range. Actual compensation will be determined based on a variety of factors, including skills, experience, and geographic location. Compensation may vary for positions based in high cost-of-labor markets.
