Purchasing Coordinator

In this role, you will take on a key responsibility in supporting our Supply Chain Operations in the generation of purchase orders for various HelloFresh markets across Europe, the UK, Australia, and New Zealand. You will ensure the accuracy and timeliness of our ordering processes using a combination of in-house tools and Google Suite packages. Working closely with the Supply Chain, Procurement, and Forecasting teams, you will raise, edit, and send purchase orders to suppliers, contributing to our ongoing efforts to drive business success and enhance customer satisfaction.

What you’ll do

• Drive Inbound Delivery & Order Accuracy: Calculate, raise, edit, and issue accurate purchase orders across assigned category areas to ensure ingredients arrive on time and in full. 
• Perform Comprehensive Audit & Data Quality Checks: Execute thorough quality checks on purchase orders to verify data accuracy prior to supplier distribution, maintaining total confidential and operational integrity. 
• Manage Supplier Communications & Issue Resolution: Serve as the main point of contact for supplier inquiries, resolve transportation or order queries, and manage root-cause analysis to prevent recurring operational issues. 
• Support Daily Administrative & Emergency Operations: Execute essential daily tasks including high-volume data entry, issuing emergency purchase orders, updating delivery schedules, and adjusting inventory data. 
• Maintain Operational Reporting & Forecast Distribution: Build, manage, and update daily operational reports while regularly distributing demand forecast data to suppliers. 
• Collaborate Cross-Functionally Across Supply Chain Teams: Partner closely with Forecasting, Procurement, Warehouse, and Inventory teams to align order processing with customer demand and inventory requirements. 
• Optimize Tooling & Process Efficiency: Monitor in-house tools and Google Suite packages to perform routine data updates, report system glitches, and recommend continuous workflow improvements. 

What you’ll bring

GBS Version:

• At least 2 years of previous purchasing experience as a Buyer.

• Strong background and expertise in operating Microsoft Office programs (especially Excel) and ERP/MRP systems.

• Fluent in English; knowledge of other European languages (German, Dutch, French, Spanish, Italian) is a strong plus.

• Excellent verbal and written communication, collaboration, and self-management skills with a hands-on, proactive mentality.

• Strong analytical, problem-solving, and organizational skills with high attention to detail in a fast-paced environment.
