ASSISTANT DIRECTOR FACILITIES MANAGEMENT

Job Description

This role will require the candidate to live around Titusville, Florida for our new location.

Responsibilities

Support the Director in the safe, reliable, compliant, and efficient operation of hospital facilities, utilities, building systems, and maintenance services. In this hands-on leadership role, you will keep the hospital continuously survey-ready by making sure inspections, tests, preventive maintenance, repairs, and documentation are completed on time, while serving as a working leader and technical resource who can step in on repairs when needed.

Responsibilities

● Help administer the Facilities regulatory compliance system for Environment of Care, Life Safety, utility systems, and emergency preparedness

● Maintain a master schedule of required inspections, testing, preventive maintenance, certifications, and permits, and coordinate staff, vendors, and inspectors to complete them on time

● Track deficiencies from inspections, rounds, surveys, and testing through correction and documented closure, including obtaining estimates and verifying repairs

● Keep compliance binders and electronic records accurate, current, and survey-ready, and support accreditation surveys, tracers, and corrective action plans

● Monitor changes to local, state, and federal requirements and help the Director implement and communicate them

● Assist with Interim Life Safety Measures (ILSM), Infection Control Risk Assessments (ICRA), and other risk-control processes

● Help maintain the CMMS and ensure work orders and preventive maintenance are prioritized, completed, and fully documented

● Monitor overdue work orders, backlog, and recurring failures, and keep equipment and asset inventories accurate

● Conduct routine Environment of Care and facility rounds, document findings, and follow corrective work through completion

● Coordinate ordering, tracking, receipt, and distribution of parts and materials, and manage vendor site access and service documentation

● Provide day-to-day direction and technical support to facilities staff, including troubleshooting, scheduling, emergency response, and after-hours coverage

● Promote safe work practices, infection-prevention requirements, and staff training on departmental procedures

● Assist with maintenance, renovation, infrastructure, and capital projects, and provide reports, metrics, and status updates to the Director and hospital leadership

Skills

● Regulatory Knowledge: Working knowledge of healthcare facility compliance requirements from CMS, NFPA, OSHA, state and local authorities, accreditation organizations, and other Authorities Having Jurisdiction (AHJs)

● Organization: Ability to manage recurring deadlines, inspections, deficiencies, work orders, parts, vendors, and multiple projects at once

● Technical Interpretation: Ability to read inspection reports, service documentation, equipment manuals, drawings, specifications, and basic codes and standards

● Prioritization: Ability to prioritize work based on life safety, patient safety, regulatory risk, operational impact, and urgency

● Communication: Effective written and verbal communication with clinical departments, leadership, contractors, inspectors, and facilities staff

● Computer Proficiency: Working proficiency with CMMS platforms, email, word processing, and spreadsheets

● Professionalism: Sound judgment, attention to detail, follow-through, accountability, and a service-oriented approach

Requirements

● Hands-on experience in at least one skilled building trade, such as HVAC/mechanical, electrical, plumbing, controls, or carpentry

● Working knowledge of hospital building systems, maintenance practices, work order management, and the demands of an occupied healthcare environment

● High school diploma or equivalent

● Valid driver's license with an acceptable driving record

Not Required But a Big Plus

● 1-3 years of commercial construction, facilities, or project-management experience

● Experience supporting healthcare regulatory compliance, accreditation readiness, Environment of Care, Life Safety, inspection scheduling, and deficiency management

● Experience using a CMMS to manage preventive maintenance, work orders, assets, labor, materials, and compliance documentation

● Experience coordinating contractors, obtaining estimates, and supporting facility repair or capital projects

● Associate degree in facilities management, engineering technology, construction, skilled trades, business, or a related field

● Applicable trade license or technical certification

● Certified Healthcare Facility Manager (CHFM), Certified Healthcare Safety Professional (CHSP), or similar credential, or willingness to pursue one

Important to Know

● This position requires regular walking and rounding throughout hospital buildings, roofs, exterior areas, mechanical and electrical spaces, and construction areas, including climbing stairs or ladders, bending, reaching, and lifting tools, parts, and materials.

● This position may require response to facility emergencies and occasional work outside normal business hours.
