As an HR Specialist, you'll work with our U.S.-based HR team to support our clients' employee lifecycle — onboarding, payroll, benefits, compliance, and recordkeeping — for a portfolio of high-growth, U.S.-based startup clients. Reporting to an HR Generalist, you'll take on assigned tasks across these areas while keeping the team informed of progress, questions, and potential issues. This is a chance to build broad, hands-on U.S. HR expertise rather than specializing in just one function, working across a variety of systems, processes, and employment requirements along the way.
What you’ll gain in this role
- Broad HR exposure. Support multiple areas of HR rather than focusing on one process.
- Experience with U.S. HR operations. Gain exposure to multi-state requirements, PEO administration, COBRA, payroll registrations, and employee recordkeeping.
- Experience with multiple systems. Work across platforms such as Rippling, Justworks, Gusto, Deel, and ADP and support system implementations and transitions.
- A collaborative team environment. Partner closely with the HR Generalist and the wider U.S.-based HR team, with clear guidance and support along the way.
- Responsibility for follow-through. Take charge of assigned tasks, meet deadlines, maintain accurate records, and proactively flag progress, questions, or issues to the HR Generalist.
What you'll support
Employee lifecycle administration
- Coordinate onboarding tasks — proactively collecting signed documents, updating checklists and org charts, and keeping each step on track for a smooth, timely new-hire start.
- Support the Payroll Specialist with U.S. and international payroll runs, off-cycle payments, and payroll review.
- Coordinate with payroll providers and assist with U.S. state tax registrations.
- Process employee changes and update HR, payroll, and benefits systems as soon as changes are confirmed, ensuring accuracy across all platforms.
- Complete employment verifications and routine HR correspondence promptly and accurately.
- Keep employee files and records organized, accurate, and audit-ready at all times.
- Identify and escalate missing information, exceptions, or potential concerns early, before they become issues
- Coordinate offboarding, assisting the HR Generalist with document preparation, checklists, and final payroll requirements as needed.
Benefits and systems
- Process benefits enrollments, changes, and terminations accurately and on schedule.
- Maintain accurate, up-to-date employee information across client systems.
- Respond to routine administrative questions using approved resources, and proactively flag questions that need additional guidance.
Documentation and reporting
- Run reports and supporting data for internal stakeholders.
- Proactively maintain employee rosters and client materials.
- Organize compliance records and track assigned filing or renewal deadlines.
- Maintain accurate records of completed work and client approvals.
What you'll bring
- 3+ years of HR experience, preferably supporting US-based organizations.
- Hands-on experience with payroll processing or payroll support.
- Strong attention to detail, organization, and follow-through. You will work within established processes and templates, manage multiple assignments, and escalate questions to the team.
- Comfortable learning and working across multiple HR systems and platforms (e.g., Rippling, Justworks, Gusto, ADP, TriNet, or similar).
- Excellent command of written and spoken English, with the ability to communicate clearly and professionally.
- Ability to work during US Pacific business hours consistently.
- Reliable home internet and suitable workspace.
- Bachelor's degree in HR, Business Administration, or a related field.
Strongly preferred
- Experience supporting multiple clients at once in an outsourced or shared-services HR role.
- Multi-state U.S. HR or payroll exposure.
- Experience working in startup environments.
