Job description

We're looking for an organized and detail-oriented Travel Process Coordinator to help keep client requests and travel arrangements moving smoothly from the initial planning stage through final confirmation.

This role is a great fit for someone who naturally likes keeping things in order, following a process, and making sure small details don't get missed. You'll help organize client information, research options, coordinate reservation details, update itineraries, and follow up on items that still need attention.

You'll work with established systems and online tools to keep information organized and make the planning process easier for both clients and the team. Since every trip can look a little different, the ability to manage multiple tasks and adjust when plans change is important.

What You'll Do

  • Coordinate travel planning tasks from initial request through completion
  • Organize client preferences, reservation details, and itinerary information
  • Research accommodations, transportation, activities, and destination options
  • Assist with booking-related tasks, confirmations, changes, and follow-ups
  • Keep client records and trip information accurate and up to date
  • Monitor outstanding details and make sure important tasks are completed
  • Communicate with clients to gather information and provide updates
  • Use online systems and digital tools to organize daily workflow
  • Help identify missing information or details that need additional attention
  • Keep multiple client requests organized while meeting expected timelines

What We're Looking For

  • Strong organizational and time-management skills
  • Excellent attention to detail
  • Clear and professional communication
  • Comfortable working with email, online platforms, and digital systems
  • Able to manage several tasks without losing track of important details
  • Dependable and comfortable working independently in a remote environment
  • Positive, helpful approach when working with clients
  • Willingness to learn new systems, tools, and processes

What We Provide

  • Fully remote work environment
  • Flexible scheduling
  • Training and step-by-step guidance
  • Ongoing support and resources
  • Established systems and tools to help you stay organized
  • Opportunity to build experience in planning, coordination, organization, and client support

Experience

Previous experience in the travel industry is not required. Experience in customer service, administration, scheduling, organization, hospitality, or similar areas can be helpful, but we're also open to individuals who are organized, dependable, comfortable learning new tools, and ready to develop new skills.

If you enjoy taking a list of details and turning it into an organized process, this role could be a great fit. We're looking for someone who takes pride in staying on top of the little things and helping each client's planning experience run smoothly.
