Position Requirements

Responsibilities

  • Schedule site interviews through the Talent Acquisition platform and ensure interview information is accurately communicated and documented.
  • Serve as a Subject Matter Expert for Workday and Phenom, providing guidance and support related to applicable recruitment and onboarding workflows.
  • Review and audit incomplete Pre-Hire Lifecycle (PLH) activities and communicate outstanding requirements to the appropriate Onboarding Advisor.
  • Provide support to clinicians who have questions or experience issues completing required pre-hire or onboarding tasks, including basic troubleshooting and system guidance.
  • Conduct National Practitioner Data Bank (NPDB) queries for applicable new hires in accordance with established processes and requirements.
  • Partner closely with Recruiters to maintain accurate and complete candidate files and ensure required hiring documentation is finalized within Workday.
  • Complete and monitor assigned E-Verify activities in accordance with federal requirements and organizational procedures.
  • Maintain accurate candidate and onboarding information across applicable systems to support reporting, tracking, compliance, and workflow management.
  • Identify incomplete, inaccurate, or delayed onboarding activities and escalate issues to the appropriate Onboarding Advisor, Recruiter, functional partner, or leadership team as needed.
  • Support continuous improvement efforts by identifying opportunities to improve system workflows, documentation, communication, and overall process efficiency.
  • Perform other duties as assigned.

Required Qualifications

Experience

  • One or more years of experience in recruitment, talent acquisition, onboarding, human resources, or administrative support within a corporate or professional environment.
  • Familiarity with recruitment, interview scheduling, pre-hire, and onboarding processes.
  • Experience using an Applicant Tracking System (ATS), Human Capital Management system, or other recruitment and onboarding technology is highly preferred.
  • Experience with Workday and/or Phenom preferred.

Skills and Competencies

  • Strong organizational and time-management skills with the ability to manage multiple priorities, deadlines, and tasks in a fast-paced environment.
  • High level of attention to detail with the ability to maintain accurate records, documentation, and system data.
  • Strong customer service and relationship-management skills with a focus on supporting a positive clinician experience.
  • Strong verbal, written, and interpersonal communication skills.
  • Ability to communicate effectively with clinicians, Recruiters, Onboarding Advisors, leadership, and cross-functional stakeholders at various levels of the organization.
  • Ability to quickly adapt to changing priorities, processes, systems, and organizational needs.
  • Strong problem-solving skills with the ability to troubleshoot routine issues and determine when escalation is appropriate.
  • Ability to work independently while collaborating effectively as part of a team.
  • Proficiency with Microsoft Office applications and comfort learning and navigating multiple business systems.

Education

  • Bachelor’s degree in human resources, Business Administration, or a related field preferred.
  • Equivalent relevant education, training, and/or professional experience may be considered.

The Onboarding Coordinator plays a key role in supporting the Onboarding and Talent Acquisition teams by managing candidate progress, maintaining accurate candidate records, and ensuring the efficiency of the hiring and onboarding process.
This role is responsible for completing and monitoring key administrative and system-based onboarding activities, maintaining candidate data within the Applicant Tracking System (ATS), and partnering closely with Recruiters and Onboarding Advisors to support a seamless and timely onboarding experience.
The Onboarding Coordinator serves as a system and process resource, helping to identify incomplete tasks, resolve routine issues, and ensure required documentation and onboarding activities are completed accurately and within established timelines.
