Job description

The Opportunity

The Patient Records Administrator will support the Patient Database/Portal Team with the organisation and maintenance of patient records. As we prepare to launch a new Patient Portal, we need to standardise the patient data we hold on our SharePoint site, by ensuring consistency in folder and file naming. This will enable a smooth migration to the new system. Once the new Patient Portal is live, this role will continue to ensure all medical documentation and records are saved in the correct place with the correct file name.

This is a flexible role and can be undertaken at evenings and weekends to fit around other commitments.

Key responsibilities

  • Support the Database Team to cleanse and improve the quality of Patient Data held on the CNN SharePoint site
  • Rename case folders, case files and patient documentation in a standardised format, to support our medical panel to access medical documentation in a structured and timely fashion
  • ⁠Use agreed digital platforms and systems for data management, communication and reporting· Undertake general data quality assurance activities
  • Maintain confidentiality and comply with all applicable data protection requirements
  • Undertake general data quality assurance activities
  • Complete any other related duties or responsibilities that may reasonably be required in line with the scope and nature of the services

Skills required

  • Excellent organisational and data management skills· Proficiency in using WhatsApp and Microsoft Office tools
  • Familiarity with SharePoint is helpful but not essential
  • Strong communication skills for liaising with the database team, case workers and medical professionals

Operating System

  • Windows users must be running Windows 11, fully up to date with the latest security updates 
  • Mac users must be running macOS Sonoma or later, fully up to date with the latest security updates 

Office Software 

  • Access to Microsoft Word desktop 
  • Ability to create, edit, and save standard document formats (e.g. .docx) 

Messaging 

  • WhatsApp desktop application installed and operational  
  • Active WhatsApp account linked to a mobile number 

General 

  • Sufficient hardware to run the above software without performance issues 
  • Stable internet connection 

Commitment

Minimum of 5 hours per week
