Job description

Job Summary

At SafeRide Health, we ensure transportation is never a barrier to care. As a Facilities Coordinator, you’ll build and maintain proactive relationships with medical facilities and case managers, help onboard them to our tools, and keep communications running smoothly. You’ll track facility trends, manage inbound/outbound outreach, and resolve day-to-day issues with professionalism and urgency so providers can focus on care and members can reliably get to their appointments.

Key Responsibilities

Facility Engagement & Onboarding

  • Identify key points of contact (POCs) at assigned facilities; maintain accurate roles and contact details.
  • Follow a clear outreach cadence (e.g., weekly for priority facilities; monthly for others) to share updates, gather feedback, and strengthen partnerships.
  • Onboard facility staff to SafeRide’s Care Portal and related tools; provide refresher training and job aids as needed.

Communication & Issue Resolution

  • Serve as a primary contact for facility needs through the Facility Phone Line and direct lines; triage and resolve scheduling or policy questions quickly.
  • Draft and send timely communications (e.g., policy changes, holiday schedules); support mass-email sends and recipient list hygiene.
  • Escalate urgent or complex issues to the Facilities Supervisor or the appropriate cross-functional team with clear, structured context.

Data, Tools & Reporting

  • Use SafeRide data to log activity, track engagement, and keep facility records current.
  • Monitor the Facilities Dashboard to spot trends (ride volume, recurring issues) and help prioritize outreach.
  • Track and report basic KPIs (e.g., contact coverage, open issues, turnaround times); suggest process tweaks based on signals you see.

Partnership & Network Support

  • Coordinate with internal teams (e.g., Network/TP Operations, Member Services) to match recurring ride patterns to efficient scheduling paths (e.g., standing orders) and reduce service gaps.
  • Surface opportunities where facility-owned fleets or trusted partners could integrate into the SafeRide network to improve fulfillment.
  • Deliver live virtual and/or in-person training sessions for facility staff, walking them through the SafeRide Care Portal and related workflows to ensure confident, accurate utilization of the platform.

Compliance & Documentation

  • Maintain accurate records of communication, training, and escalations; follow templates and checklists for consistency.
  • Uphold contractual and policy requirements in all interactions; route policy questions to the right owners.

Required Qualifications

  • High school diploma or equivalent.
  • 1+ year in customer service, provider relations, patient access, call center, or healthcare coordination.
  • Strong written and verbal communication; confident on the phone with external partners.
  • Comfortable learning and using operational technical systems (i.e., Salesforce), dashboards, and spreadsheets.
  • Organized, detail-oriented, and calm under time pressure; able to follow structured workflows and escalate appropriately.
  • Ability to travel to the San Antonio office on a quarterly basis for team collaboration and training.

Preferred Qualifications

  • Experience working with provider offices, care coordinators, or case managers.· Experience with mass-email tooling and contact management.
  • Bilingual proficiency (e.g., English/Spanish).
  • Familiarity with Medicaid/Medicare or healthcare operations.
