Job description

Title: Program Manager, TA Ops

Ideal Location/Time Zone Preference: occasional onsite-UCAN (Los Angeles, San Jose preferred)

Talent Acquisition Operations Workflow & Tools

This position reports to the Talent Acquisition Operations Team and will play a key

role in designing and delivering efficient and streamlined recruiting workflows. This

role will focus on understanding and defining business problems, gathering business

requirements, identifying impacted personas & interdependencies and partnering

cross functionally to effectively support Talent Acquisition (TA) programs and

initiatives.

Ideal Location/Time Zone Preference: UCAN (Los Angeles, San Jose preferred)

Onsite/Remote Role: yes - would like to go to an office if available

Ideal Start Date: September 23 , 2026

Ideal End Date: October 31, 2027

Key Deliverables/What You Will Do

● Act as a trusted partner to Recruiting leadership and cross-functional teams.

Represent the recruiting function in projects, process optimization, influence

decision-making, and provide SME-level guidance on recruiting operations,

tools, and workflows.

● Design, manage, and optimize end-to-end recruitment workflows, leveraging

process improvement methodologies to ensure efficiency, scalability, and

alignment with organizational priorities. Drive continuous improvement of our

recruiting technology stack by identifying gaps, evaluating processes, and

creating impact in partnership across Talent.

● Lead process improvement initiatives focused on scalability, automation, and

simplification. Leverage insights to design streamlined workflows that reduce

manual effort and improve quality and consistency across global teams.

● Serve as a liaison between TA, Product and Engineering teams, employing

project management frameworks to drive effective communication, prioritize

tasks, and deliver on complex, cross-functional initiatives within set timelines.

● Leverage recruiting and operational data to identify trends, monitor

performance, and develop actionable insights. Drive accountability around

metric adoption, reporting integrity, and operational KPIs

Support the planning and execution of recruiting programs and technology

implementations. Track milestones, ensure cross-functional alignment, and

surface risks and dependencies early.

● Oversee the development and governance of process documentation, training

materials, and self-serve knowledge resources. Ensure accessibility, accuracy,

and usability across teams.

● Partner closely with the TA Programs team to understand business needs and

translate them into clear, actionable design requirements that drive TA

initiatives.

● Partners with Talent Data & Analytics, Security and Legal to understand the

implications of process or tooling decisions, including governance, compliance

and risk assessments

● Oversee the testing and troubleshooting of new tools, systems, and processes

to ensure successful implementation and adoption. Provide support and

guidance throughout the implementation and training process.

● Drive cross-functional initiatives across Talent Acquisition, Talent, FInance and

business leadership, aligning stakeholders and clearing blockers before they

escalate.

● Actively participate in post-mortems to assess project outcomes, identify areas

for improvement, and drive enhancements in project management processes

and methodologies across global TA.

Required Qualifications:

● 5+ years of experience in Recruiting or HR Operations with proven experience

designing global workflows with a focus on cross functional excellence.

● Experience partnering with product and engineering teams to inform strategic

decision making, backlog prioritization and solutions, familiar with agile and

design thinking methodologies.

● Strong business acumen with the ability to solve complex challenges, utilizing

critical thinking, and analysis.

● Experience supporting tech or process implementations and managing

complex stakeholder groups.

● Strong analytical skills with the ability to extract insights from data, identify

trends, and develop recommendations, and create detailed action plans.

● Proven ability to successfully manage multiple projects simultaneously with

minimal oversight.

Proficiency in Google Workspace (Docs, Sheets, Slides, Drive), Slack, and

Asana.

● Experience with Workday HCM and ATS is required.

● Eightfold experience strongly preferred.

● Understanding of recruiting processes, systems, and lifecycle workflows; able

to operate as an SME, strongly preferred
