Job description

This is a remote position.

We are seeking an empathetic, detail-oriented, and fluent Bilingual Intake Specialist (Spanish/English) to join our growing team. In this role, you will be the first point of contact for prospective clients. You will be responsible for conducting initial screenings, gathering critical information, and ensuring a seamless, welcoming onboarding experience.

The ideal candidate is a skilled communicator in both English and Spanish who excels at active listening, accurate data entry, and providing exceptional customer service in fast-paced or high-stakes situations.

  • First Impression: Act as the primary point of contact for prospective clients reaching out via phone, web forms, text, or live chat in both English and Spanish.

  • Case Vetting & Screening: Conduct initial interviews using the firm’s pre-established screening protocols to evaluate the merits of potential cases (e.g., assessing liability, injuries, or timeline).

  • Data Management: Accurately log case facts, contact details, and vital deadlines (statutes of limitations) into our Legal Case Management Software (e.g., Clio, Filevine, Smokeball).

  • Retainer Execution: Guide qualified leads through the signing of standard retainer agreements and initial intake paperwork, explaining the process clearly in their preferred language.

  • Translation & Interpretation: Interpret calls or meetings between Spanish-speaking clients and English-speaking attorneys, and accurately translate basic case correspondence.

  • Lead Follow-Up: Manage a pipeline of potential clients, making outbound follow-up calls to ensure no viable lead is dropped.

  • Scheduling: Coordinate and schedule initial consultations between qualified prospective clients and our legal team.



Requirements

  • Language Proficiency: Native or professional fluency in both Spanish and English (written and verbal) is strictly required.

  • Experience: 1–3 years of experience in customer service, call centers, or intake roles (experience in legal, medical, or social services fields is a major plus).

  • Communication: Exceptional active listening skills and an empathetic, professional phone demeanor.

  • Tech Savviness: Proficiency with MS Office (Word, Excel) and experience using CRM databases (e.g., Salesforce, Clio, Zendesk) or scheduling software.

  • Detail-Oriented: Ability to multitask, prioritize urgent inquiries, and maintain high data accuracy under pressure.
