This is a remote position.
We're looking for a proactive, trustworthy Executive Assistant to support a custom bikini design business, starting with critical email management and expanding over time into calendar support and business systematization. This role is ideal for someone who can bring calm and order to an overwhelmed inbox and grow into a broader support role as trust is established.
Organize and triage the inbox by importance and urgency
Filter out spam and irrelevant messages
Surface critical, customer- and order-related emails for direct attention
Draft responses to routine inquiries for review, where appropriate
Manage calendar scheduling, including client fittings
Support the development and organization of Standard Operating Procedures (SOPs) for business processes
Assist in documenting workflows to support the business's shift toward rental and off-the-rack sales models
Strong written English and professional email communication skills
Experience managing or triaging a high-volume inbox (Gmail, Outlook, or similar)
Comfortable working independently with minimal oversight once trained
Strong organizational and prioritization skills
Discretion and confidentiality, given exposure to business and client communications
Given the business's plans to grow and systematize, consider looking for a candidate who also has:
Calendar/scheduling tool experience (e.g., Calendly, Google Calendar) — to smoothly take on fitting scheduling as scope expands
SOP/documentation experience — someone who has helped build or maintain SOPs previously will accelerate the systematization goal, rather than needing to learn this from scratch
Basic project management skills — as the business shifts to rental/off-the-rack models, the EA may need to help track inventory, orders, or production timelines
Customer service experience — since many emails will be customer-facing, prior experience handling client inquiries with warmth and professionalism will protect the customer experience
Comfort with e-commerce or order management platforms — useful if the "off-the-rack" sales model eventually involves an online store
Proactive communication style — given Stacey's limited bandwidth, an EA who flags issues early and suggests solutions (rather than waiting to be asked) will be especially valuable here
Adaptability — the role is expected to evolve significantly over time, so a candidate comfortable with a changing scope will be a better long-term fit than one who prefers a fixed job description
Detail-oriented and highly organized, especially under inbox pressure
Trustworthy and discreet, given access to business and client communications
Comfortable starting small (part-time) with room to grow into a larger, more strategic role
