Job description

Job Overview:

Cross business communication of resource requests that come from the centralized resource management mailbox. Required to interpret emails that come in from a centralized mailbox, determine where they should be routed. There are functional areas where daily interaction would be anticipated. First, for requestors within the business who are looking for resources to fulfill a need. These can come from Project Managers, the Proposal Group, Clinical Trial Managers, among others. The Second area is from Line Managers who have the resources to fulfill those requests. Communication with Line Managers about their Weekly Allocation uploads as required when errors or issues develop during the process.

Summary of Responsibilities:

  • [20%] Manage the Resource Management Mailbox that is the centralized conduit for Resource Requests within CDCS. The purpose of this task is to read, interpret, and ensure appropriate emails are routed to the people who can fulfill the requests.
  • [20%] Manage and execute the weekly Allocation Upload Process. By close of business on Friday, 50-75 Excel Spreadsheets need to be uploaded into the Resource Management Tool via a Macro Tool developed by Resource Management.
  • [30%] Publishing of weekly reports from the Resource Management Tool. Each Week excel files are published to SharePoint from the Resource Management tool. Those Spreadsheets are generated via a Macro and do require mild manipulation prior to being published.
  • [20%] Base Line Resource Request (BRP) Loading into the Resource Management Tool. As work is awarded, an excel file from the Proposal/Contracting group is generated and needs to be loaded into the Resource Management Tool to populate the new Demand. Some Excel manipulation is required to ensure the proper format for an Excel Macro to run and perform the load.
  • [10%] Requires an understanding of the process and tools and has the ability to influence some change and enhancements to the process. Partnering with Manager develop different ways to streamline efficiencies and continuous improvement of process and tools.
  • All other duties as needed or assigned.

Qualifications (Minimum Required):

  • University / college agree, or certification in related healthcare or resource management profession from an appropriately accredited institution
  • In lieu of the above requirement, candidates with four (5) or more years of relevant clinical research or resource management experience in pharmaceutical or CRO industry may be considered
  • Good understanding of the clinical trial process

Experience (Minimum Required):

  • Minimum of three (5) years of professional experience.
  • In lieu of above requirement, candidates with four (4) years of clinical research (pharmaceutical research or contract research organizations) may be considered.
  • Strong ability to work within a project team.
  • Strong planning, organization, and problem-solving ability.
  • Strong oral and written communication and interpersonal skills.
  • Ability to work to deadlines and effective time management.
  • Ability to work with all levels of personnel.
  • Good analytical and problem-solving skills.
  • Good understanding of resource supply / demand principles.
  • Works efficiently and effectively in a matrix environment.
  • Excellent computer system and database knowledge and advanced MS Excel skills.
  • This position requires a higher level of process understanding and is the next level of the Coordinator Role I.

Physical Demands/Work Environment:

  • Overtime and weekend work as required
  • Standard Office environment
