Parexel, a leading Clinical Research Organization, is seeking an experienced Specialist, Meeting Services (Project Manager) to lead complex international congresses and pharmaceutical meetings. If you have a proven track record delivering world-class events in fast-paced, client-focused environments, we want to hear from you.
 

📌 About the Role

You'll lead all aspects of congress management—from planning through post-event analysis—managing high-profile international meetings, delegate logistics, venue coordination, and on-site execution. You'll work with prestigious clients, ensure exceptional quality and on-time delivery within budget, and maintain compliance with pharmaceutical industry standards.
 

🔑 Key Responsibilities

Congress & Event Management

  • Lead congress delivery across all operational phases

  • Oversee delegate travel and international meeting logistics

  • Conduct site visits and manage on-site delivery

  • Recommend venues and ensure compliance with industry guidelines
     

Project Execution

  • Lead project planning and maintain oversight of deliverables

  • Manage supplier communication and resolve issues proactively

  • Meet tight deadlines and provide quality control guidance
     

Client Relationship Management

  • Manage client expectations and scope changes

  • Attend and lead client meetings and provide regular status updates

  • Identify opportunities for follow-on business
     

Finance & Budget Management

  • Ensure accurate project scoping and budget management

  • Monitor profitability and financial compliance

  • Communicate cost implications to management
     

Specialized Knowledge

  • Maintain expertise in virtual meeting platforms and registration tools

  • Stay current on industry knowledge, SOPs, and supplier landscape

  • Work with minimal supervision and provide cover for Senior Specialist
     

✅ Essential Requirements

Congress & Event Management Experience (REQUIRED)

  • Proven conference and event organization experience

  • Relevant experience in pharmaceutical, clinical research, or healthcare

  • Demonstrated ability to manage meetings on time with high quality

  • Strong understanding of international congress logistics

  • Client-focused approach with professional communication skills

  • Strong problem-solving and organizational abilities

  • Technical expertise in meeting management tools and registration software

  • Proficiency with Word, Excel, and PowerPoint
