Job Description:

At Job Duck, we are looking for a highly organized and dependable Legal Secretary to provide essential administrative and scheduling support to a fast paced legal team. In this role, you will help attorneys and paralegals stay organized by managing calendars, coordinating appointments, maintaining accurate records, and handling professional correspondence. Your work will directly contribute to the efficiency of daily legal operations and ensure important deadlines, meetings, and commitments are properly managed. The ideal candidate thrives in a deadline driven environment, communicates with professionalism and confidence, and takes initiative to support the team with minimal supervision. •Monthly compensation range: 1150 USD to 1220 USD

Responsibilities include, but are not limited to:

  • Identify administrative needs proactively and take action with minimal supervision
  • Support the firm’s daily operations through efficient and reliable administrative assistance
  • Contribute to a collaborative, professional, and client focused work environment
  • Assist attorneys and paralegals with day to day administrative and legal support tasks
  • Manage calendars for attorneys and maintain accurate scheduling records
  • Schedule and coordinate court appearances, hearings, client meetings, consultations, and other legal events
  • Communicate with courts, clients, attorneys, and external parties regarding scheduling matters
  • Monitor upcoming deadlines, appointments, and commitments to ensure timely preparation
  • Organize, maintain, and update legal documents, files, and records
  • Prepare, organize, and manage legal correspondence and administrative documentation
  • Draft professional emails, letters, and routine communications as directed
  • Maintain organized records of communications and case related documentation
  • Coordinate with attorneys, paralegals, and administrative staff to support workflow efficiency
  • Assist with scheduling changes, cancellations, and rescheduling requests as needed
  • Review documents and correspondence for accuracy, clarity, grammar, and formatting
  • Follow established procedures while adapting to changing priorities and firm needs

Requirements:

•2-3 years of experience as a Legal Secretary, Legal Assistant, or in a similar legal administrative role required

•Preferred experience supporting matters related to Personal Injury, Employment Law, and Civil Litigation

Experience managing calendars and with court scheduling

•Excellent English written and verbal communication skills

•Strong writing, grammar, editing, and proofreading abilities

•Experience supporting attorneys, paralegals, or legal teams is mandatory

•Experience working in a litigation-focused environment is preferred

•Ability to manage multiple priorities while maintaining accuracy and professionalism

•Strong organizational, calendar management, and time management skills

•Ability to work independently and take ownership of assigned responsibilities

•Comfortable working in a fast-paced, deadline-driven legal environment

•Proficiency with Microsoft Word and Microsoft 365

•Strong computer literacy and ability to learn new software and systems quickly

•Comfortable working in a digital and technology-focused environment

•Ability to navigate legal software and firm-specific platforms

8:30 AM - 5:30 PM [PST][PDT] (United States of America)
