This is a remote position.
We are seeking a highly organized and proactive Maintenance Triage & Coordination Specialist to support a growing construction and property maintenance company.
In this role, you will serve as a key point of coordination between tenants, clients, maintenance workers, and internal operations. You will receive and organize maintenance requests, create and track work orders, communicate updates, and help ensure each request is followed through from initial report to completion.
The company uses a custom-built internal software platform. Prior experience with the specific system is not required, but you should be comfortable learning new technology and adapting quickly to established workflows.
This is a part-time opportunity to start, with the potential to transition into a full-time position based on performance and business needs.
Receive, review, and triage incoming maintenance and service requests
Create and maintain accurate work orders in the company's internal system
Communicate with tenants and clients regarding maintenance needs and updates
Coordinate with maintenance workers, vendors, and other service providers
Notify workers of new assignments and provide the information needed to complete each job
Follow up on open work orders and monitor progress through completion
Maintain clear and accurate notes for ongoing maintenance requests
Collect and upload photos, videos, and other documentation related to completed work
Confirm completion of maintenance requests with tenants or clients as needed
Assist with maintenance-related items involving NYC HPD violations
Request Certificates of Insurance (COIs) when necessary
Assist with coordinating or sourcing materials needed for maintenance projects
Proactively identify outstanding tasks and follow up until they are resolved
Excellent written and verbal English communication skills
Strong organizational and time-management abilities
Exceptional attention to detail
Ability to manage multiple work orders and priorities simultaneously
Strong follow-up skills and a high level of personal accountability
Comfortable communicating with tenants, clients, vendors, and field workers
Ability to learn custom software and new processes quickly
Strong general computer and administrative skills
Resourceful problem-solver who can think independently
Self-motivated and comfortable working with minimal supervision
Experience in any of the following areas is highly valued:
Property or building maintenance coordination
Property management support
Facilities coordination
Work order management
Maintenance or service dispatch
Construction administration
Vendor coordination
Experience with task or work-order management platforms such as Monday.com or similar systems is helpful but not required.
Familiarity with NYC property maintenance or HPD-related workflows is also a plus.
Spanish-speaking ability is a plus, but is not required.
The ideal candidate takes ownership of open tasks rather than simply recording them. You should be someone who is comfortable following up, communicating with multiple people, keeping information organized, and making sure maintenance requests do not fall through the cracks.
