Job description

 Your Role at a Glance

The Interim Recruiting Coordinator provides recruiting, onboarding, and administrative support to the Human Resources team. This fixed-term position supports the full recruitment lifecycle, including job posting management, candidate sourcing, resume review, interview coordination, candidate communications, and onboarding activities for new hires. The successful candidate will maintain recruitment data and requisitions within the ATS and HRIS, coordinate hiring and onboarding activities, and help ensure a positive candidate and new hire experience. Depending on experience, this individual may also conduct initial candidate screenings and assist with evaluating candidate qualifications against position requirements. Success in this role requires proactive communication, strong organizational skills, attention to detail, and consistent follow-through while managing multiple recruiting and onboarding activities simultaneously.

 How You’ll Drive Success

HR Coordination & Administrative Support

  • Prepare routine recruiting and onboarding correspondence, reports, trackers, and status updates.
  • Coordinate employee training and maintain related attendance or completion records as needed.
  • Provide general administrative support for HR projects and team priorities.
  • Data-entry of candidate/employee information, maintain confidentiality and discretion at all times.

Recruiting & Candidate Management

  • Create, post, update, and close job advertisements on internal/external career sites & job boards.
  • Maintain accurate and current candidate, requisition, and interview information within the ATS.
  • Source qualified candidates through LinkedIn and other appropriate recruiting channels.
  • Review resumes and applications to identify candidates whose qualifications align with position requirements.
  • Conduct initial virtual interviews to assess candidates’ relevant experience, skills, interest, availability, and general alignment with the role.
  • Present qualified candidates and concise screening summaries to Recruiting Team for consideration.
  • Coordinate interviews with candidates, hiring managers, and interview teams across multiple schedules and time zones.
  • Maintain timely, professional candidate communications throughout the recruitment process and support our positive candidate experience.
  • Assist with reference checks, pre-employment requirements, offer documentation, and other recruiting activities as assigned.

Onboarding Support

  • Coordinate preboarding and onboarding activities for new hires, including required documentation, orientation agendas, meetings, training, and first-day logistics.
  • Prepare and distribute welcome materials, onboarding instructions, and required employment forms.
  • Track onboarding tasks and follow up with new hires, managers, and internal partners regarding outstanding requirements.
  • Serve as a point of contact for candidates and new hires, responding to routine questions and escalating issues when appropriate.
  • Maintain organized recruiting and onboarding records in accordance with established procedures and confidentiality requirements.

  • Experience supporting onboarding, new hire orientation, or related pre-employment activities. 
  • Experience using an applicant tracking system and recruiting tools such as LinkedIn Recruiter, Indeed, or similar platforms is preferred.

Preferred Skills

  • Strong written and verbal communication skills, with the ability to provide clear, accurate, and timely information to candidates, hiring managers, and colleagues. 
  • Strong organizational and time management skills, with the ability to manage multiple open positions, interviews, and onboarding activities simultaneously. 
  • Sound judgment when evaluating candidate qualifications and determining when to escalate questions or concerns. 
  • Consistent attention to detail and follow-through in a fast-paced, deadline-driven environment. 
  • Proficiency with Microsoft Office applications, including Outlook, Word, and Excel. 
  • Ability to work independently while collaborating effectively with the Human Resources team and hiring managers. 
  • Professional, adaptable, and customer-focused approach to supporting candidates, new hires, and internal stakeholders. 
  • Ability to maintain confidentiality and appropriately handle sensitive candidate and employee information.
