Type: Full time, exempt, 40 hours/week

Location: Remote USA, Indianapolis

Salary: Minimum salary of $55,000.  Salary is commensurate with skills and experience.

The Assistant Manager, Institutional Engagement & Events plays a key role in growing enrollment and institutional adoption of IFSA-Designed and Career Accelerator programs. The position combines targeted partner development, campus outreach, and relationship management with event strategy and execution designed to build program awareness, secure academic and institutional support, engage priority student audiences, and advance enrollment.

Working closely with Institutional Engagement Managers, Academic Affairs, Marketing, Student Engagement, site staff, senior leaders, and other cross-functional colleagues, this role helps identify and advance institutional opportunities for IFSA-Designed and Career Accelerator programming. Responsibilities include supporting Midwest regional engagement and the broader team portfolio; coordinating targeted outreach to study abroad offices, faculty, academic departments, career centers, advisors, and student groups; and translating program priorities into effective campus and virtual engagement. The role will manage a portfolio of institutional partners where there is strong potential to grow these programs. 

The position also coordinates high-impact events—including webinars, faculty and advisor engagements, campus programs, Global Site Seminars, conferences, institutional visits, and advisory meetings—with a clear focus on strengthening knowledge, advocacy, approvals, and enrollment for IFSA-Designed and Career Accelerator programs. While the annual scope is intended to be balanced between institutional engagement and events, priorities will shift throughout the year based on program launches, approval cycles, recruitment periods, conferences, and enrollment needs.

This position requires exceptional organizational skills, attention to detail, and the ability to work independently across time zones with multiple teams.

In this position, your responsibilities would include:

Institutional Engagement (50%)

  • Support institutional strategies that increase awareness, approval, recommendation, and enrollment for IFSA-Designed and Career Accelerator programs. 
  • Partner with Institutional Engagement Managers to identify priority institutions, academic departments, faculty, advisors, career centers, and student groups with strong alignment to targeted programs. 
  • Coordinate sustained outreach and follow-up that moves institutions from initial awareness to program review, approval, promotion, and student enrollment. 
  • Support Midwest regional engagement and the broader Institutional Engagement portfolio, prioritizing campuses and audiences with strong potential for IFSA-Designed and Career Accelerator growth. 
  • Manage a portfolio with goals tied to program adoption, engagement, and enrollment. 
  • Build working knowledge of IFSA-Designed and Career Accelerator curricula, experiential learning, career-readiness components, academic pathways, and distinguishing features; translate these priorities into tailored communications, presentations, campus plans, and follow-up for institutional and student audiences.

Event Coordination (50%)

  • Plan and coordinate events that directly support the visibility, institutional adoption, and enrollment growth of IFSA-Designed and Career Accelerator programs. 
  • Develop webinars, faculty and advisor briefings, student information sessions, career-focused events, and other targeted engagements for priority programs and academic areas. 
  • Coordinate Global Site Seminars, independent site visits, advisory meetings, development-partner engagements, campus experiences, and selected industry conferences that deepen institutional understanding of IFSA’s academic model and career-focused programming. 
  • Partner with Academic Affairs, Marketing, Student Engagement, site teams, and Institutional Engagement colleagues to align event audiences, messaging, content, calls to action, timelines, registration, travel, venues, catering, materials, A/V needs, and participant communications with program growth goals. 
  • Track attendance, institutional participation, leads, follow-up activity, approvals, and enrollment-related outcomes; prepare concise post-event summaries and use participant feedback to recommend future audiences, formats, locations, and follow-up strategies for priority programs.

Requirements, Education and Work Experience

  • A bachelor’s degree required.
  • 2-4 years of professional experience in event planning, international education, or related field.
  • Demonstrated ability to support growth of academic programs through partner outreach, campus engagement, audience development, communications, or events. 
  • Experience working with university stakeholders such as study abroad offices, faculty, academic departments, career centers, advisors, or student organizations, together with strong project management, communication, presentation, and relationship-building skills. 
  • Ability to learn varied academic and career-focused programs, communicate their relevance to institutional and student audiences, manage multiple priorities, and travel as needed.
  • Knowledge of social media and digital marketing tools.
  • Experience managing logistics across time zones and working with international teams preferred.
  • Proficiency with Microsoft Office, virtual meeting platforms (e.g., Zoom), and shared cloud storage systems.
  • Familiarity with the field of education abroad or higher education conference environments is a plus.
  • Commitment to IFSA’s mission, vision, and four commitments.
  • Legal US work authorization, physically reside in the USA.

Physical and Work Environment  

  • Remote work with regular virtual collaboration across departments and time zones.

  • Conference and meeting room set up such as moving chairs, AV equipment, packing and unpacking boxes of materials
  • Occasional domestic and international travel required.
  • Frequent visits to IFSA Headquarters to Indianapolis, Indiana.
  • Flexibility to participate in meetings and events outside traditional business hours due to global operations.
