POSITION SUMMARY AND SCOPE:

The Registrar Operations Coordinator position assists with the daily operations of the Registrar's Office related to the academic student file. The position is a front-line associate who processes changes, validates data, and addresses questions for students related to their academic record at the University. This position requires confidentiality, exceptional professional etiquette, a solid work ethic, and a customer service attitude.

This position will require some weekend and evening hours as needed. 

Pay:  $45,000 - $48,000/annually; $21.64 - $23.08/hour

Remote Work Requirements:

  • This position offers the option to work remotely. Candidates must connect equipment directly to their home router (Post provides a 50-foot Ethernet cable; no wireless connections). Minimum internet requirements include 25 Mb download speed, 15 Mb upload speed, and latency below 40 for reliable audio quality. Test your speed at www.speedtest.net (select Boston, MA–Comcast).
  • Candidates are responsible for ensuring their internet meets these standards before the start date. A dedicated, quiet home workspace free from distractions is also required.

ESSENTIAL FUNCTIONS:

  • Provides student-centered support related to academic records by responding to inquiries in person, by telephone, and through email; processing student record updates, including personal information and name changes; and collaborating with students, Academic Advising, Financial Aid, Academic Affairs, and other university departments to research and resolve complex student record issues, all while ensuring compliance with university policies and applicable legal requirements.
  • Maintains confidentiality of student information in accordance with FERPA and institutional policies while safeguarding the integrity of academic records.
  • Maintains, updates, audits, and validates student academic records to ensure accuracy, completeness, and compliance with university policies, procedures, and accreditation requirements.
  • Receives, reviews, processes, and maintains transcripts and supporting documentation for current, former, and prospective students, including the timely and accurate processing of official transcript requests in accordance with university policy.
  • Conducts degree and graduation audits to verify completion of academic requirements and supports the graduation certification process.
  • Reviews and processes enrollment verification requests and provides official enrollment documentation in accordance with university policies and applicable regulations.
  • Coordinates the receipt, review, indexing, and maintenance of student files and documentation to support accurate recordkeeping and regulatory compliance.
  • Reviews and processes Satisfactory Academic Progress (SAP) approvals, denials, and related documentation in accordance with institutional and regulatory requirements.
  • Processes updates to student records, including personal information changes, name changes, and related identity documentation, ensuring compliance with university policies and applicable legal requirements.
  • Tracks operational metrics and departmental performance data, identifies trends, and recommends process improvements to enhance efficiency, accuracy, and student service.
  • Supports commencement planning and execution by identifying and validating graduation eligibility, preparing and maintaining commencement-related records and reports, communicating with prospective graduates, and (for local employees) assisting students and guests during commencement events.
  • Assists with special projects, process improvement initiatives, and regulatory compliance activities as assigned.
  • Performs other duties as assigned.

  • Minimum of 1 year of experience in higher education; Registrar's Office experience preferred.


  • Possesses an understanding of student records policies and FERPA.


  • Excellent phone, email, and face-to-face communication skills; maintains a positive attitude.


  • Advanced Microsoft Office skills required, with a strong emphasis on Excel proficiency.


  • Preferred knowledge of working with Anthology Student (Campus Nexus Student).


  • Ability to plan, organize, and implement assigned responsibilities and to work well under pressure to meet established deadlines.


  • Energetic and goal-oriented; strong interest in working in a fast-paced environment that requires multitasking.


  • Ability to maintain confidentiality and handle sensitive information with discretion.
