Job Summary

Assists in the operation of a coordinated supply support system for all of the Hospital and NCMG departments.

Qualifications

Essential Job Duties and Responsibilities

  • Receives, inspects, verifies, and accepts or rejects supplies and equipment delivered to the Hospital.
  • Interfaces with all shipping/delivery company drivers and personnel.
  • Coordinates the receiving and shipping activities on the NCH loading dock area.
  • Breaks down packaging, sorts recyclable content, and disposes of non-recyclable packaging.
  • Contributes to maintaining the loading dock in a safe, clean, and accessible manner.
  • Maintains the breakdown room in a safe, clean, and accessible manner.
  • Coordinates with user departments on the storage and delivery of supplies and equipment.
  • Maintains proper inventory records, as required, when filling supply orders.
  • Maintains adequate supply levels in patient areas and in other areas as requisitioned. 
  • Maintains a neat, clean work environment, and uses good storage distribution techniques, proper location, rotation, identification, documentation, and organization; handling and storing sterile supplies to protect the integrity of the sterility.
  • Analyzes, prepares and processes all storeroom inventory documentation concerned with storage and distribution of supplies.
  • Maintains the physical inventory and the computer inventory system in a timely and accurate manner; researches; investigates and accounts for any discrepancies.
  • Prepares all inventory transactions and data entry (including master file additions and deletions, daily purchases, receipt and issue transactions, corrections, vendor return credits, returns to stock).
  • Logs, files and maintains source documents in an organized fashion.
  • Researches and verifies all inventory reports to prove that all information was entered and processed properly, making any corrections to transaction errors after thoroughly researching to find the source of the error.
  • Takes periodic inventories to prove the accuracy of the system and prepares corrections.
  • Maintains stockroom in a safe, clean, and accessible manner.
  • Assists Materials Manager with all aspects of departments operations.
  • Assists Materials Manager with all special initiatives and projects.
  • Answers department telephones providing program information, taking messages, and/or referring calls to the appropriate party.
  • Maintains confidentiality of patient information in accordance with Hospital policy and applicable statutes and regulations.
  • Adheres to NCH policies, procedures, all safety plans, and all standards imposed by regulatory organizations.
  • Performs other duties as assigned

Essential Knowledge, Skills, and Abilities Required for the Position

Knowledge of:

  • Warehousing, inventory control, and deliveries required. 
  • Healthcare materials coordination preferred.

Skills:

  • Frequent internal and external contact in which a significant deal of tact is required, and representation of the Hospital is dependent upon the contact.
  • Use of touch, smell, vision, hearing, and manual dexterity required.
  • Verbal, written, and computer skills are required. 
  • Orientation to detail with a critical degree of accuracy are required.
  • Ability to work well as a team member and to work independently.
  • Must have good problem-solving and analytical skills.

Ability to:

  • Learn and utilize NCH computer databases for Materials Department.
  • Use fingers and hands to operate telephone, fax, copier, computer, scanner, calculator, cell phone, push to talk radio, van/car.
  • Frequently stand, walk, bend, use back and knees, climb, crawl.
  • Lift up to (75) pounds.
  • Utilize personal protection equipment such as gloves, safety glasses, and box cutters.
  • Utilize mechanical lifting devices and transportation carts.
  • Adapt and excel in a busy loading dock environment.
  • Adapt and excel in a construction zone environment.
  • Adapt to the changing material needs of Hospital departments.

Credentials and Experience Required

  • High School degree or GED required.
  • Relative computer experience required.

Special Requirements

  • Must be available to work overtime as needed to complete all job duties.
  • Must be available to work in the case of a Hospital declared emergency.
