Job description

This is a remote position.

ABOUT ACCESS OFFSHORING:

We specialise in providing Australian businesses with experienced and qualified professionals based in the Philippines. Not only does our team of recruiters have extensive experience in sourcing and recruiting offshore talent, we also help Australian businesses implement best practice when it comes to building an offshore team.

ABOUT THE CLIENT:

Our client is an Australian electronic security and technology business delivering CCTV, electronic security and related low-voltage technology solutions. The business is also developing broader managed-service and IT capabilities, supporting customers across system installation, service, troubleshooting and ongoing technology requirements.

JOB SUMMARY:

We are seeking a Service Admin to provide day-to-day service administration and customer coordination for an Australian electronic security and technology business. The role will take routine administrative and customer-service work away from the technical team so they can focus on quoting, system design, technical work and revenue-generating activities.

KEY RESPONSIBILITIES:

• Answer and manage inbound customer calls.

• Respond to general customer enquiries and emails.

• Schedule jobs, appointments and technician visits.

• Make outbound calls to confirm and coordinate appointments.

• Maintain calendars and technician schedules.

• Enter and maintain accurate job information in the client's custom job-management platform.

• Monitor jobs through the administrative workflow and ensure information is progressed correctly.

• Follow up customers where required.

• Send prepared quotations and related customer documentation.

• Assist with invoicing and routine job administration where required.

• Triage incoming customer enquiries and determine whether they can be handled administratively or need escalation to a technician.

• Maintain accurate customer and job records.

• Provide broader administrative support during quieter service periods.

Requirements

SKILLS & QUALIFICATIONS:

• Previous Service Administration, Service Coordination or Scheduling experience.

• Ideally experience supporting a IT, trades, security or other field-service business.

• Comfortable learning job-management and scheduling systems.

• General technical or IT aptitude is strongly preferred.

• Experience with ServiceM8 or a similar platform would be useful; the client uses a custom-built job-management system.

• Strong spoken English and confident telephone communication with customers.

• Strong scheduling, calendar coordination, organisation and attention to detail.

      • Able to learn technical terminology and identify when an enquiry should be escalated.
