Job Description:

SOME OF THE THINGS YOU'LL DO:

The Project Analyst reports directly to the Director Program Management and will develop, lead, and participate in the activities and duties noted below. This is a fantastic remote-based opportunity to help us establish Project Management across Blue Ridge Life Sciences - you will work together with the Director and other internal stakeholders to implement best practices and systems for our business and help lead us into an exciting future full of opportunity! This role serves as the organization’s subject matter expert for the professional services automation (PSA) platform, ensuring that programs are accurately set up, billed, and tracked, and that program data remains accurate and complete throughout the project lifecycle.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Serve as the organization’s subject matter expert for the professional services automation (PSA) platform. Troubleshoot system-related questions and issues raised by users. 
  • This role requires discretion and independent judgment on matters of significance, including resolving billing issues and scheduling dependencies, ensuring accurate revenue recognition, and recommending corrective action without direct, continuous supervision.
  • Manage team member access to the PSA platform, including which team members are assigned to specific projects within the system. Provide training for new system users.
  • Review and translate Statements of Work (SOWs) provided in Word format by the sales and execution teams into the PSA system, ensuring all tasks are accurately represented, resolving ambiguities in scope or billing terms in consultation with sales and technical leadership.
  • Assess custom data fields and structure to ensure accurate transfer to Finance, ensuring configurations produce accurate downstream reporting.
  • Obtain, update, and verify project percent complete in collaboration with project leads. Create program reports from system data to assess overall program health by reviewing time entries, descriptions, schedules, and task status. Review program health and progress with leads and escalate issues.
  • Track resource utilization metrics and update program resources throughout the life of the program as changes occur.
  • Design and automate recurring performance reporting for leadership, proactively identifying trends, risks, and anomalies, including configuration for automation.
  • Analyze invoices prior to distribution, checking for accuracy, and identifying and resolving issues with project leads. Investigate time entry and billing discrepancies, and decide on appropriate corrective action in consultation with project leads. 
  • Close out completed projects within the system and provide relevant data to the business unit to support lessons-learned reviews. 
  • Identify and evaluate new PSA system features as the platform matures and trains the team on their use. 

Minimum Qualifications (Knowledge, Skills, and Abilities)

  • 2+ years of experience in project management in the field of consulting utilizing professional services automation (PSA) system. Experience using Mavenlink / Kantata preferred.  
  • BA/BS degree required, preferably in a technical field.  
  • Direct experience administering a PSA platform (e.g., project setup, task configuration, time entry, and billing management). 
  • Understanding of milestone-based and time-and-materials billing structures. 
  • Strong conflict resolution and change management skills, with the ability to navigate competing stakeholder priorities and lead teams through evolving processes, systems, and program requirements.
  • Ability to work independently, meet deadlines, and work as a dedicated member of a team.
  • Exceptional writing skills, extremely well organized and strong attention to detail.
  • Very strong interpersonal skills and the ability to build relationships with project leads, and project team members, and cross-functional stakeholders.
  • Proven ability to handle confidential information with absolute discretion.
  • Proficiency with Microsoft Word and Excel; familiarity with professional services automation software required.
