Location: Remote, Bay Area / West Coast based candidates preferred

 

Schedule: Monday–Friday, 9 am–5 pm PST. Position requires occasional early morning, evening and weekend hours and some travel

 

Compensation: $145,000-$150,000 annual DOE

Join Our Team as a Strategic Finance & Administration Leader

Flourish Agenda is seeking a Director of Finance & Administration to serve as our senior-level finance and administration leader a key role on our senior management team, shaping the financial health and operational efficiency of an organization committed to serving the most vulnerable in our community.

In this role, you'll oversee budgeting, accounting, financial management, and reporting, directly and via subcontractors, while working closely with vendors, HR, IT, and all departments across the organization to maintain efficient systems and drive innovative solutions. This position also supervises one part-time staff member and contractors, and involves occasional evening and weekend work.

What You'll Do

Budget, Finance, and Accounting

·      Develop program and annual budgets with the leadership team, and develop & update pricing policies for contract work.

·      Ensure financial management systems, policies, and procedures include all appropriate controls to maintain the fiscal integrity of the organization.

·      Oversee all accounting and financial functions via subcontracted vendor, including cash receipts, billing and accounts receivable, cash disbursements and accounts payable, payroll, general ledger, grant/contract invoicing, and cash flow.

·      Maintain the organization's credit card system (Bill Spend & Expense) and train staff on appropriate usage.

·      Maintain up-to-date financial records, produce accurate cash flow projections, and deliver regular monthly financial reports for the CEO and Board of Directors.

·      Provide annual audit oversight, including year-end closing, pre-audit reconciliations, audit fieldwork support, and review of audit reports and annual tax returns.

·      Manage changes to salaries and benefits programs from a financial perspective.


Administration & Operations

·      Supervise the Senior Operations Coordinator, who provides administrative support and helps coordinate office functions.

·      Support the use of Salesforce as the organization's system-of-record for client contracts and pipeline management.

·      Maintain permanent files for corporate filings and contracts, including a renewal-date log for compliance oversight.

·      Maintain organization insurance and vendor contracts, and support IT needs in coordination with a subcontracted vendor.

·      Ensure compliance with all laws, regulations, organizational policies, and funding guidelines.


Grant & Contract Management

·      Maintain grant management processes, including appropriate coding of revenue and expenses.

·      Manage invoicing to grant funders and accounts receivable for reimbursement, proactively maximizing the use of available grant funds.

·      Maintain compliance with all government and private funder requirements and local, state, and federal regulations.

·      Develop and maintain expertise in funder requirements, acting as a gatekeeper for approval of expenditures.


Human Resources

·      Oversee HR functions including benefits administration, payroll processing, and personnel policy compliance.

·      Support recruitment, onboarding, and employee relations in partnership with program managers.

·      Maintain an up-to-date employee handbook and ensure compliance with employment law.

 

General Duties

·      Implement and improve the organization's data retention and document storage policies, and develop a risk management system covering insurance, leases, vendor contracts, and similar exposures.

·      Provide leadership on short- and long-term strategic objectives, including opportunities for revenue growth and diversification.

·      Develop actionable analysis of financial performance and trends, and build easy-to-digest financial dashboards and reporting tools for the board and senior leadership.

·      Innovate financial and operational efficiencies through technology and process streamlining.

·      Support the financial aspects of grant proposals with program and development staff, and attend board meetings to provide financial support.



Requirements

Required

  • Passion for Flourish Agenda's mission and a commitment to follow the policies & procedures of the organization.
  • Bachelor's degree in Accounting, Finance, Business Administration, or related field
  • 5+ years of progressive nonprofit financial management experience
  • Strong knowledge of nonprofit fund accounting, GAAP, and regulatory compliance (990s, grant compliance)
  • Experience managing budgets, audits, and multi-funder grant reporting
  • Proficiency with accounting software (e.g., QuickBooks, Sage Intacct, or similar) and Microsoft Excel
  • Proficiency with HR/payroll systems (e.g., Paylocity, Gusto, ADP)
  • Demonstrated supervisory and team leadership experience
  • Excellent communication skills, with the ability to translate financial information for non-financial stakeholders
  • Strategic and analytical thinking
  • Integrity and sound judgment in handling confidential information
  •  Strong organizational and project management skills
  • Adaptability in a mission-driven, resource-conscious environment
  • Collaborative, solutions-oriented leadership style

Preferred

  • CPA, MBA, or equivalent advanced credential
  • Experience with HR administration and organizational operations
  • Expert-level experience with QuickBooks Online, Gusto, Bill Spend & Expense, and Bill Payables
  • Experience with Salesforce, WordPress, Dropbox, and Microsoft 365
  • Experience working with a Board of Directors
