Position Overview

RecruitGo is seeking a detail-oriented and client-focused Estate Planning Legal Drafter to support attorneys with document drafting, client communication, scheduling, case and file management, legal research, and preparation/finalization of estate planning documents. The ideal candidate is organized, professional, responsive, accurate, and highly skilled in communication and Microsoft Office, with the ability to manage multiple tasks in a fast-paced environment.

Responsibilities

The Estate Planning Legal Assistant plays a vital role in supporting our attorney by providing exceptional assistance in all aspects of estate planning. This position is client-facing and detail-intensive, requiring professionalism, accuracy, and excellent communication skills. The ideal candidate is organized, responsive, and is dedicated to creating a smooth and supportive experience for both clients and legal staff.

Document Drafting & Legal Support

• Prepare a full range of estate planning documents, including:

o Last Wills and Testaments and Trusts

o Powers of Attorney & Advance Healthcare Directives

o Deeds

• Utilize standardized firm templates and ensure customization based on attorney direction and client information.

• Collaborate with attorneys to draft and revise documents accurately and timely.

• Maintain up-to-date knowledge of estate planning terminology and formatting.

Client Support & Communication

• Act as a client liaison, providing updates on case status, document drafts, and next steps in the estate planning process.

• Respond to client calls, emails, and portal messages within the firm’s communication timelines.

• Schedule and confirm client signing appointments, and follow-up meetings.

Meeting & Signing Preparation

• Prepare comprehensive estate planning binders for signing meetings, ensuring:

o All documents are tabbed and labeled correctly.

o Drafts are printed on appropriate paper and in correct order.

o Notary blocks, signature lines, and witness areas are clearly identified.

• Attend client signings when requested and assist in the execution and notarization of documents.

File & Case Management

• Open, organize, and maintain physical and digital files in accordance with firm policy.

• Accurately upload client-provided documents into case management software (e.g., CaseStatus, Clio).

• Track case timelines and deadlines, proactively alerting attorneys to necessary updates or actions.

• Ensure estate planning matters are moved efficiently through each stage (consultation, drafting, review, signing, finalization).

Database & Workflow Management

• Update and maintain contact details, notes, tasks, and document uploads in the firm’s case management system.

• Create and follow task lists and workflows for each estate planning case.

• Flag and resolve data entry inconsistencies to support accurate reporting and workflow tracking.

Legal Research & Drafting Support

• Perform limited legal research under attorney guidance

• Assist in assembling complex trust packages based on attorney templates and client goals.

Collaboration & Internal Communication

Collaborate daily with the intake specialist, administrative support, and other legal assistants to ensure seamless handoffs and communication.

• Communicate respectfully and effectively with other departments, reporting progress or obstacles to team leaders or attorneys as needed.

Finalization & Delivery

• Scan and organize signed documents into appropriate digital folders.

• Assemble estate planning binders post signing appointments.

• Record deeds with appropriate county offices and follow up to ensure confirmation of recording is received and filed.
