Job Description:

Job Duck is seeking a highly organized and proactive Probate and Estate Planning Assistant to support a busy Trust, Probate, and Estate Planning practice. In this role, you will play a key part in ensuring legal processes move forward efficiently by managing documentation, coordinating information between attorneys and clients, and supporting trust administration activities. Your work will directly contribute to improving workflow efficiency and allowing legal professionals to focus on higher level casework and client service. • Monthly Compensation Range: From 1,142 to 1,220 USD

Responsibilities include, but are not limited to:

  • Identify process improvements that increase efficiency and support team productivity
  • Maintain accurate case records and client information within legal software systems
  • Coordinate communication between attorneys and clients throughout legal matters
  • Communicate with clients to obtain missing information and required documentation
  • Track document completion and ensure all required paperwork is received
  • Open and manage trust administration files and documentation
  • Coordinate the DocuSign process for legal documents requiring signatures
  • Provide general legal administrative support to the trust and probate division
  • Assist with probate and estate planning administrative functions as needed
  • Monitor ongoing tasks and ensure deadlines are met
  • Organize, manage, and update legal files and documentation
  • Support trust administration matters and related legal processes

Requirements:

• 1-2 years of experience working as a legal assistant

• Experience with Estate Planning and Probate Law highly preferred

• Strong document management skills
• Experience coordinating with attorneys and clients

• Proficiency with legal case management software
• Excellent English written and verbal communication skills
• Strong attention to detail
• Highly organized and process-driven
• Self-motivated and dependable
• Proactive problem-solving abilities
• Tech savvy with the ability to learn new systems quickly
• Ability to manage multiple priorities effectively
• Task-oriented with strong follow-through skills

• Location and timezone: Remote, Eastern Standard Time (EST)
• Working Hours: Monday to Friday
• Expected call volume: Light (5 calls per day on average)
• Software and Tools Required:
- CRM: Clio (prior experience highly preferred)
- VOIP: RingCentral
