PURPOSE OF THE POSITION: 

The Associate Registrar & Transcript Evaluation Specialist is a critical role which manages the evaluation of academic transcripts by recognizing prior learning to facilitate the academic progression of students at CLU. This position requires a deep understanding of specialized evaluation processes including international credit evaluations, military evaluations, credit for prior learning, alternative credentialing, articulation agreements, and prior learning assessment (PLA).

WHAT YOU WILL DO:

All duties are presumed to reflect the effective implementation of best practices. Technology will be leveraged as an enabler whenever practical. Internal controls will be implemented to ensure that all activities comply with recognized standards of fiduciary due care, conflict of interest, and confidentiality.

This is a full-time, exempt position which observes CLU's standard operating schedule of 8:30 am to 5:00 pm PST Monday through Friday. 

  • Transcript Evaluation and Processing: Apply forward-thinking strategies to transfer credit acceptance that support equitable student outcomes while maintaining institutional integrity and compliance. Oversee the comprehensive evaluation of incoming transcripts for transfer credits, ensuring alignment with CLU’s academic standards and program requirements. This includes the evaluation of international credit evaluations, military transcripts, credits for prior learning, and other non-traditional sources of credit. 

  • External Transcript Processing: Download official external transcripts, confirm accreditation, and upload transcripts to the Student Information System.

  • Transcript Requests: Process requests for CLU transcripts.

  • Education Verifications: Process requests for enrollment and grade verifications after confirming that the student has provided signed consent.              

  • Collaborate Effectively Across All Departments: Work closely with academic departments to understand program requirements and ensure that transcript evaluations support learners’ educational goals. Collaborate with all departments; present ideas for streamlining processes, share recommendations, and support organizational and departmental goals.

  • Management of Articulation Agreements: Maintain and update articulation agreements ensuring that credits are transferred accurately and efficiently.

  • Prior Learning Assessment (PLA): Manage processes for PLA, allowing students to receive academic credit for learning acquired outside traditional academic environments.

  • Compliance and Best Practices: Ensure compliance with federal, state, and institutional policies related to transcript evaluation and credit recognition. Stay abreast of best practices in the field and implement improvements to processes and policies.

  • Reporting and Documentation: Maintain accurate and comprehensive records of all evaluations and decisions. Maintain complete and accurate student files. Prepare reports on transfer credits, PLA credits, and the impact of articulation agreements on student progression.

  • Advisory Role: Serve as a key advisor to the Registrar, faculty, and academic advisors on matters related to transcript evaluation, credit for prior learning, and related policies.

  • Other Duties as Assigned: The Registrar will assign additional projects as deemed necessary.
