Job Description:

Job Duck is seeking a highly organized and proactive Legal Executive Assistant to provide administrative and operational support in a fast-paced legal environment. In this role, you will serve as a trusted partner, helping manage priorities, coordinate communications, oversee scheduling, and ensure daily operations run smoothly. The ideal candidate is detail-oriented, resourceful, and able to communicate professionally with clients, vendors, and internal stakeholders while handling sensitive information with discretion. Success in this position requires strong organizational skills, excellent judgment, and the ability to anticipate needs while maintaining a high level of accuracy and professionalism.

Compensation Range:  1060 USD to 1150 USD

Responsibilities include, but are not limited to:

  • Collaborate with leadership to improve administrative processes and workflow efficiency.
  • Ensure accurate data entry and record management across systems.
  • Assist with client intake coordination and scheduling consultations.
  • Track action items, follow up on outstanding tasks, and ensure timely completion of priorities.
  • Coordinate internal and external meetings, ensuring all logistics and materials are prepared.
  • Screen, prioritize, and respond to emails and communications on behalf of leadership as appropriate.
  • Coordinate travel arrangements and scheduling needs when required.
  • Organize and maintain digital files, records, and confidential information.
  • Maintain accurate records and documentation within Lawmatics and other firm systems.
  • Manage executive calendars and coordinate appointments, meetings, and deadlines.
  • Communicate professionally with clients and team members while maintaining confidentiality.
  • Support operational initiatives and special projects as assigned.
  • Monitor calendars and proactively identify scheduling conflicts.
  • Prepare reports, correspondence, presentations, and other administrative documents.
  • Answer inbound calls and professionally handle communications from clients, vendors, and stakeholders.

Requirements:

• Schedule: Monday through Friday, 8:00 AM to 5:00 PM EST.

• Fluent spoken, written, and comprehension skills in English are required.

Minimum of 2 years of executive support, administrative support, customer service, or related professional experience.

• Experience supporting executives, attorneys, or leadership teams is preferred.

• Prior law firm experience is preferred but not required.

• Strong proficiency with CRM systems and business communication tools is required.

• Candidates must have a reliable internet connection and a quiet, professional work environment.

• Required software and tools include Lawmatics, RingCentral, Outlook Email, and Outlook Calendar.

Work Shift:

8:00 AM - 5:00 PM [EST][EDT] (United States of America)
