Core Responsibilities
1. Advanced Case Management & Caseload Ownership
- Caseload Execution: Independently manage an assigned caseload, ensuring each legal matter progresses efficiently according to the firm’s workflow, priorities, and filing deadlines.
- Prioritization: Dynamically prioritize cases based on upcoming filing deadlines, urgent client circumstances, case age, and firm-wide targets.
- Tracking & Compliance: Maintain accurate, real-time updates in CampLegal, Asana, Google Drive, and all applicable case trackers. Document all substantive client communications, case developments, and follow-up efforts on the same business day.
- Agency Monitoring: Proactively monitor USCIS, EOIR, NVC, CEAC, and other agency correspondence to ensure that receipts, RFEs, NOIDs, interview notices, and deadlines are addressed immediately.
2. Case Preparation, Drafting & Substantive Review
- Legal Drafting: Assist attorneys in preparing and drafting immigration petitions, motions, waivers, and specialized applications (including I-751 petitions, U-Visas, T-Visas, VAWA cases, family-based adjustment applications, and naturalization).
- Pre-Attorney Quality Control: Conduct rigorous, substantive reviews of immigration forms, supporting evidence, client declarations, cover letters, and assembled filing packages before sending them to attorney review.
- Risk Identification: Identify factual inconsistencies, missing evidence, potential eligibility concerns, and case-specific risks, escalating them promptly to the supervising attorney.
- Case Summaries: Prepare clear and comprehensive case summaries for attorney review, outlining outstanding issues, critical deadlines, and recommended next steps.
- Final Package Audit: Review final assembled filing packages to confirm that all forms, evidence, translations, signatures, fees, cover letters, and exhibits are 100% complete and correctly organized.
3. Client Communication & Proactive Support
- Client Engagement: Maintain consistent, empathetic communication with clients to request outstanding documents, forms, signatures, declarations, and approvals.
- Legal Guidance: Assist clients with completing required forms, explain administrative legal procedures, and answer case questions under attorney supervision.
- Interview & Court Prep: Schedule appointments and prepare clients thoroughly for USCIS interviews, court appearances, consular processing, and other immigration-related hearings.
4. Cross-Team Collaboration & Operational Excellence
- Interdepartmental Coordination: Partner seamlessly with the Forms, Writings, Assembly, Customer Service, Billing, and Attorney teams to resolve case blockers and prevent unnecessary delays.
- Strategy & Growth: Actively participate in case strategy discussions, team meetings, firm trainings, and continuous quality-improvement initiatives.
- Mentorship: Assist with the training, onboarding, and guidance of junior team members when requested.
- Legal Research: Conduct targeted legal research related to immigration law trends and specific case issues under the direction of the supervising attorney.
Qualifications
- Bilingual Fluency: Full professional fluency in both English and Spanish is strictly required (written and verbal).
- Experience: 2+ years of experience as an immigration paralegal handling VAWA, U-Visa, T-Visa, family-based adjustments, waivers, and I-751 petitions is highly preferred.
- Technical Proficiency: Experience managing high-volume cases using CampLegal, Asana, and Google Workspace.
- Laser Focus & Detail: Exceptional organizational skills, sharp analytical abilities to spot case inconsistencies, and the capacity to handle sensitive information with strict confidentiality.
