We are seeking a highly analytical, detail-oriented, and execution-focused Accounting, Finance & Operations Lead to strengthen our financial discipline, improve operational efficiency, and support scalable growth across e-commerce, warehouse, and supply chain functions.

Position Summary

The Finance & Operations Lead will play a critical role at the intersection of bookkeeping, financial reporting, e-commerce operations, inventory management, and process improvement. This person will be responsible for maintaining accurate financial records, driving timely reconciliations, supporting decision-making with data, and partnering cross-functionally to improve business performance.


This role is ideal for a candidate who is strong in QuickBooks, account reconciliations, reporting, Excel, bookkeeping, and operational follow-through, and who thrives in a fast-paced entrepreneurial environment.

Key Responsibilities

Accounting, Financial Management & Bookkeeping

  • Support leadership with accounting, bookkeeping, financial management, analysis, and weekly/monthly reporting
  • Manage accounts payable and accounts receivable
  • Reconcile bank accounts, credit card accounts, and other balance sheet accounts accurately and on time
  • Reconcile E-Commerce channels' deposits in QuickBooks Online
  • Maintain accurate bookkeeping records and ensure clean financial data for decision-making
  • Assist with financial statement preparation, account analysis, and balance reporting
  • Support tax-related recordkeeping and coordination with external accountants as needed
  • Help improve the chart of accounts structure, classifications, and financial controls

Operations & E-Commerce Management

  • Manage key aspects of e-commerce operations, including:
    • Demand Planning and Forecasting
    • Purchase orders & receiving
    • Inventory control
    • Shipping and logistics

  • Monitor operational workflows and identify opportunities to improve efficiency and reduce errors
  • Drive purchasing decisions, working closely with warehouse and operations teams to develop reports on inventory levels and prevent stockouts or excess inventory
  • Help manage warehouse-related activities across multiple locations, including:
    • Own warehouse, Texas
    • Fulfillment by Amazon/Walmart (FBA)/FBW 
  • Support freight, import/export, and vendor coordination activities

Inventory, Reporting & KPI Management

  • Track, analyze, and report on key performance indicators (KPIs) across finance and operations
  • Build and maintain reports that provide visibility into inventory, purchasing, fulfillment, and financial health
  • Monitor inventory levels and support timely replenishment to maximize sales opportunities
  • Collaborate with cross-functional teams, including marketing, operations, customer service, and purchasing, to align data and action plans
  • Identify trends, discrepancies, and areas for corrective action

Process Improvement

  • Support cross-functional process improvement initiatives to ensure company objectives are achieved
  • Help establish systems, templates, and reporting discipline across the finance and operations team
  • Participate in onboarding and performance review initiatives
  • Support the creation of training processes, operational documentation, and accountability systems

Qualifications

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred
  • 3+ years of experience in bookkeeping, financial operations, accounting, or finance/operations coordination
  • Strong proficiency in QuickBooks Online and Microsoft Excel
  • Demonstrated experience with:
    • Account reconciliation
    • AP/AR management
    • Financial reporting
    • Inventory and operational reporting
  • Strong analytical and problem-solving skills with close attention to detail
  • Excellent time management and ability to meet deadlines with speed and accuracy
  • Strong written and verbal communication skills
  • Comfortable working independently in a remote environment while collaborating across teams

Preferred Experience

Candidates with experience in the following areas will be especially attractive:

  • E-commerce accounting and operations
  • Experience with QuickBooks Online and ERP systems
  • Amazon reconciliations
  • Inventory-driven businesses
  • Start-up or growth-stage companies
  • Payroll setup and bookkeeping for small businesses
  • Tax return support, tax compliance research, or business/personal tax preparation
  • Advanced Excel and PowerPoint for business analysis and presentation
