Job description

🚀 About AmpiFire

AmpiFire is a software-powered content marketing and distribution platform built for serious growth-stage businesses.

We help 7–8 figure brands build compounding organic authority, and we're not just a software company. We're a software-enabled agency that pairs cutting-edge tooling with hands-on strategic execution.

We're a lean, high-output team. If you want a place where your work visibly moves the needle and the people around you push you to be better, keep reading.

🎯 About You

You have managed people, and you held them to account and to the standard. Firm but fair. You don't avoid the difficult conversation and you don't hope an issue will resolve itself.

You're organised, you build systems that outlast you, and when something breaks you find the cause and fix it rather than passing it up.

The core of this role is accountability: keeping a pod of five or six delivering promos, webinars and campaigns on time, week after week, without the CEO needing to chase.

🔎 Why This Seat Is Open

The person who built this role has left to run a software company he had started before joining us, which has since taken off. He gave us four weeks' notice and spent them documenting the job, so the next person starts from a written handover rather than guesswork. He rated us 9 out of 10 as a place to work.

So you are not walking into a mess or replacing someone who failed. You are inheriting a role that has been done well before, with a written handover and a pod that knows its work.

⚡ How We Work

We move quickly. You'll work autonomously and make decisions with limited information. We don't have meetings to plan the meeting. We ship.

✅ Two Things Are Essential

You have led, managed or organised at least 3 people in a remote team. Direct reports, freelancers or contractors, the reporting line matters less than the fact that you kept them to something. This is not a first management role.

🤝 With Us, You'll

  • Manage the pod of 5–6 people who run the operational side of marketing: promos, webinars, email campaigns and internal training

  • Own promo timelines end to end, assign clear owners and deadlines, and keep creatives and builders delivering on schedule

  • Investigate and fix broken processes, events and automations instead of escalating them

  • Maintain and refine systems and checklists that keep the team moving fast without chaos

  • Drive team accountability by reviewing daily standups, following up on commitments, enforcing deadlines, and escalating patterns before they become problems

  • Drive leadership effectiveness through structured meeting facilitation, weekly business reporting and rigorous accountability tracking, so priorities are clear, commitments are followed through, and leadership stays aligned

📈 Why This Role Will Accelerate Your Career

1. Operational ownership. You'll be the person ensuring critical promos, webinars, and campaigns actually happen. Promos and webinars drive revenue directly, so your work shows up in the numbers rather than in a report about efficiency. When delivery slips, it costs money.

2. Build systems that scale. You'll build and enforce the systems that keep marketing shipping: promo playbooks, QA gates, accountability rhythms, and checklists that continue working as volume and complexity increase.

3. Modern operations stack. You'll work hands on with tools like AEvent, Zoom, HubSpot, Ongage, spreadsheets, and project platforms. You'll sharpen system thinking, automation logic, and operational decision making.

4. Remote first, stable team. We've been profitable since day one. You'll work remotely and join a team that values ownership, clarity, and long-term thinking.

5. Real leadership. You'll manage a team of 5–6 direct reports and report directly to the CEO/CMO, who provides strategic direction, with full visibility into how strategic decisions get made. This is people leadership with real stakes and critical coordination across teams and projects.

🛠️ What You'll Do

1. Own operational execution end to end

Own timelines, task lists, and follow through for promos, webinars, email campaigns, and related workflows.

Turn briefs into execution plans, keep documentation accurate, and prevent delivery misses.

2. Lead a pod

Set priorities, review work, and hold the pod to deadlines and quality standards.

Review daily standups, follow up on commitments, and address slippage directly instead of letting it slide.

Run simple routines like weekly meetings, check-ins, 1:1s, and status updates so everyone knows what's next.

Ensure events are set up correctly in AEvent and Zoom, invites and reminders go out on schedule, and assets are shipped on time.

Support live delivery during launches and coordinate recordings and follow-ups.

QA the full attendee journey before every event.

3. Own training operations

Ensure training sessions are set up and QA'd, maintain schedules, and ensure sessions run as planned.

4. Investigate and resolve issues

When events, automations, or processes fail, run the investigation. Gather facts, identify root causes, coordinate fixes, and document outcomes.

5. Build and maintain clean systems

Build, maintain, and enforce SOPs, QA checklists, trackers, and internal documentation.

Run post-promo retrospectives and turn findings into process improvements for the next cycle.

6. Track and report key metrics

Maintain simple views of delivery status, event performance, and pod output. Flag risks early.

🏆 What Success Looks Like

  • Zero mystery misses on critical projects

  • Promos, webinars and campaigns ship on time with minimal last-minute chaos

  • A reliable, improving team with clear priorities and consistent quality

  • Progress tracked, commitments enforced, no CEO chasing needed

  • Issues investigated properly, with clear records and prevention steps

  • Systems and checklists that scale as volume increases

  • Leadership can see status, risks and impact without chasing

🔍 What We're Looking For

Core experience

  • Led, managed or organised a team of 3 or more remotely, including holding people to deadlines and addressing underperformance directly

  • Delivered projects on time through structure rather than heroics

  • Strong coordination experience in operations or project delivery

Technical requirements

You build, you don't just use. Knowing a tool and creating a workflow in it are different things, and this role needs the second. Wiring an automation in Make, n8n or Zapier, setting up a CRM properly, getting an AI tool to do something genuinely useful: that is part of this job rather than something you raise a ticket for.

We are not hiring a developer. We are hiring someone who fixes and automates rather than waiting for someone else to.

Day to day you'll work with spreadsheets (Google Sheets or Excel), project and task tools (ClickUp, Asana, Trello or similar), webinar and event tools (Zoom, AEvent), and CRM and email platforms (HubSpot, Ongage). We care more that you dig into a tool until you understand it than that you already know ours.

Personality

  • Comfortable giving and receiving direct, honest feedback

  • Willing to raise risks early and challenge timelines when needed

  • Strong finisher who closes loops

  • Detail-oriented and precise

  • Systems thinker who fixes root causes

  • Calm under pressure, especially during live events

Preferred background

  • Operations, delivery or coordination roles in online businesses, SaaS, agencies or remote teams

  • Agency traffic or production management, BPO or contact centre team leadership, or any setting where you owned a schedule and chased people to hold it

  • Experience with launches, webinars or campaigns

  • Comfortable working across time zones

🚫 What We Don't Want

  • Candidates seeking narrow admin work only

  • People who avoid conflict or raising risks

  • Those who escalate problems instead of fixing them

  • Candidates resistant to learning tools or digging into systems

💰 Compensation and Location

$3,000 – $6,000 USD per month, based on experience. Higher possible for strong HubSpot experience, or advanced experience running online events such as webinars and live launches.

Fully remote, full time contract role, with paid leave based on your country of residence.

We're hiring for the long term. This is not a project engagement.

One hard requirement on hours. Our regular webinars run at 11AM EST and live promo sessions run through to about 3PM EST. On those days, roughly three a week, you need to be working across 10AM to 4PM EST. The rest of your week you organise as you like. Promo weeks add pre-recorded encores in the evenings and occasionally at weekends, which need setting up and checking rather than hosting.

If 11AM EST is the middle of your night, this won't work.

📝 Hiring Process: What to Expect

We aim to be thorough but efficient. Total time commitment is under 5 hours.

  1. Application — resume, questions and a short personality assessment

  2. Interview with Matt, Director of Operations

  3. Two 30-minute working sessions with Adam and David, who you'd be working alongside

  4. Final interview with Chris, CEO

  5. Offer

We may ask for additional tasks depending on the role and the stage.
