Hexie VA | Supporting a U.S. Law Firm

At Hexie VA, we are looking for a Paralegal / Intake Specialist to join our team and support one of our main clients, a U.S.-based law firm. In this role, you will play a crucial part in ensuring prospective and current clients receive exceptional service throughout their legal journey.

The Paralegal / Intake Specialist will serve as the first point of contact for potential clients, evaluate new case opportunities, support attorneys with legal and administrative tasks, and help maintain organized case files and client records. You will work closely with attorneys and legal staff to provide a seamless client experience while ensuring that cases are handled efficiently and professionally.

This role is ideal for someone who is friendly, people-oriented, detail-focused, highly organized, and motivated to help clients navigate challenging situations. This role supports a client located in Virginia and requires full fluency in both English and Spanish. Candidates must be based in Latin America (LATAM).

Key Responsibilities

Legal Intake Functions

  • Interview prospective clients by phone and email to understand their legal matters and gather relevant information.
  • Conduct preliminary research to assess the viability of potential claims.
  • Evaluate whether prospective cases align with the firm's areas of practice and experience.
  • Schedule consultations between qualified prospects and attorneys.
  • Onboard new clients and prepare initial case files and documentation.
  • Maintain accurate client information and records within the firm's systems.
  • Develop and maintain referral relationships with other law firms and professionals.
  • Provide general administrative support as needed.

Paralegal Functions

  • Communicate with clients via phone, email, and other channels to answer questions and provide updates.
  • Conduct initial legal and factual research and prepare information for attorney review.
  • Assist with case management and administrative tasks.
  • Attend meetings and take accurate notes when required.
  • Organize documents for court filings, case management, and recordkeeping.
  • Transcribe, proofread, and prepare legal documents and correspondence.
  • Manage attorney calendars, client appointments, consultations, and important deadlines.
  • Maintain strict confidentiality and handle sensitive client information appropriately.

Experience and Professional Background

Required Qualifications

  • Associate’s Degree or equivalent professional experience.
  • 1+ year of office or administrative work experience.
  • 1+ year of experience working in Personal Injury law.
  • 1+ year of experience working with English-speaking clients.
  • Excellent verbal and written communication skills in both English and Spanish.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Proficiency with common office software and willingness to learn legal case management systems.

Schedule

This role supports our client’s office in Virginia, so the schedule follows their office hours:

Monday – Friday | 8:00 AM – 5:00 PM (Virginia Time)

  • 40 hours per week
  • Fully Remote
