Join Thermo Fisher Scientific as a Portfolio Associate and support cross-functional PMO portfolio operations that enable our customers to make the world healthier, cleaner and safer. This role will assist and provide backup support to the Portfolio Analyst by helping maintain portfolio data, support reporting cycles, coordinate project documentation, and ensure portfolio management tools are accurate, current, and used consistently.
The Portfolio Operations Associate will work closely with the PMO, Finance, Technology Groups, Portfolio Leads, Project Managers, and other stakeholders to gather, validate, and organize portfolio and project data. This role supports the day-to-day execution of portfolio operations, including Planview data maintenance and reporting coordination, dashboard support, documentation, and process improvement.
This is a hands-on operational support role focused on data accuracy, reporting readiness, and process discipline. The role does not own portfolio strategy, investment decisions, financial approvals, savings targets, or intake prioritization.
Key Responsibilities
Assist with the coordination of portfolio and project activities to ensure alignment with PMO and organizational objectives
Support the Portfolio Analyst with Planview administration, data maintenance, reporting, and user support
Help Project Managers maintain accurate portfolio information, including schedules, milestones, budgets, risks, resource data, financial fields, and status updates
Support monthly and quarterly reporting activities by assisting with data collection, validation, reconciliation follow-up, and documentation
Gather, review, and organize portfolio and project data for management reporting and governance forums
Prepare and distribute standard portfolio reports, dashboards, data extracts, and project documentation
Monitor data quality and follow up with project managers, Portfolio Leads, Finance, and other stakeholders to resolve gaps or discrepancies
Maintain project and portfolio documentation, including schedules, risk logs, action item trackers, job aids, and standard operating procedures
Support consistent use of portfolio management tools, processes, and reporting standards
Assist with user training, onboarding, and first-level support for Planview and related portfolio processes
Support continuous improvement initiatives within the PMO, including reporting automation, process simplification, and data quality improvements
Provide backup support to the Portfolio Analyst as needed
Key Skills and Competencies
Strong attention to detail and commitment to data accuracy
Strong organizational, follow-up, and time management skills
Ability to gather, validate, analyze, and present project or portfolio data
Working knowledge of project management, portfolio operations, or PMO processes
Experience with portfolio or project management tools such as Planview preferred
Strong Excel and reporting skills; experience with dashboards or reporting tools preferred
Basic understanding of budgets, forecasts, actuals, risks, schedules, and project documentation
Clear written and verbal communication skills
Ability to work collaboratively with project managers, Finance, Technology Groups, and PMO stakeholders
Process-oriented mindset with a focus on consistency, continuous improvement, and operational excellence

REQUIREMENTS:
• Bachelor's Degree required, experience required in project management or coordination preferred
• Preferred Fields of Study: Chemistry, Biology, Engineering, Business, or related discipline
• Additional certifications in Project Management are valued but not required
• Strong proficiency in Microsoft Office Suite, particularly Excel, PowerPoint, Project, and project management software such as Planview, Smartsheet, Planisware
• Excellent organizational and time management skills with ability to handle multiple projects simultaneously
• Outstanding written and verbal communication skills
• Detail-oriented with strong documentation and process management capabilities
• Experience with quality systems and GMP compliance preferred
• Ability to work independently while collaborating effectively with cross-functional teams
• Strong analytical and problem-solving skills
• Proficiency in English required; additional languages may be needed based on location
• Experience with project management software and tools
• Ability to identify and mitigate risks while maintaining project timelines
• Strong customer service orientation with excellent interpersonal skills
• Flexibility to adapt to changing priorities and deadlines
• Understanding of relevant industry regulations and standards
• Experience in pharmaceutical, healthcare, or scientific industries preferred
