About Climate Action

Climate Action was founded in 2007 and works at the intersection of climate policy, innovation and finance. We bring together a global community of 140,000 members and an ecosystem of over 1,000 partners, UN agencies and private sector organisations through a number of high-impact hybrid and digital events each year, alongside more focused roundtables.

We are a commercial business with a clear mission: to drive meaningful climate progress through the events and partnerships we convene.

The Role

Join a rapidly growing, mission-led company, making a positive impact on our planet.   

This is a hands-on, varied role at the heart of a growing team with people who work hard, deliver, and don't take themselves too seriously along the way.

You will split your time supporting our CEO and our Chief Events Officer, while also acting as the central point of support for the wider team, covering everything from diary management and event operations to HR administration, IT coordination and keeping the office running smoothly.

It's a genuinely broad role, and a good fit for someone with EA/PA experience within a private sector SME, who enjoys variety, takes ownership without needing to be asked twice, and wants exposure across HR, systems and events rather than a narrow admin brief.

Executive support

  • Diary management, meeting coordination and travel bookings for the CEO and Chief Events Officer and the wider team
  • Preparing presentations, templates and branded materials using PowerPoint, Canva or similar tools
  • Managing team expenses and general administration for both directors
  • Handling confidential personal matters for the directors with discretion


HR & people administration

  • Coordinating onboarding and offboarding, including new starter and leaver logistics
  • Maintaining attendance records and setting up new starters on Breathe HR (HRIS)
  • Administering pension enrolment and the Benenden Health Scheme
  • Setting up and tracking mandatory training via iHASCO


IT & systems administration

  • Coordinating IT setup for new starters and equipment return/removal for leavers
  • Acting as the day-to-day point of contact with our outsourced IT helpdesk provider
  • Setting up new users on the CRM system


Office & team support

  • Acting as the central point of support across the business and keeping the office running smoothly
  • Organising team building activities, birthdays and internal team events
  • Coordinating client dinners and roundtables alongside the events team
  • General facilities and office management within our WeWork space

Event operations

  • Supporting the Chief Events Officer as needed to deliver the flagship annual events and additional roundtables
  • Working closely with the Chief Events Officer on logistics, supplier coordination and on-the-day support

Requirements

Essential

  • Previous experience in an Executive Assistant or Team Assistant role within a private sector SME, supporting senior level Directors
  • Strong organisational skills, ideally including some team event management experience
  • Experience of managing team expenses and undertaking team travel arrangements
  • Proven experience with Microsoft 365, particularly PowerPoint and SharePoint
  • Curiosity about how AI tools can improve efficiency, reduce costs and support better outcomes
  • Brings positive and collaborative energy to the team
  • Confidence to communicate clearly and hold their own at senior level.
  • Strong administrative ability and attention to detail

Nice to have

  • HR: supporting HR admin, drafting and issuing employment contracts
  • Team on/off boarding: IT setup of new joiners/ leavers and managing the IT support supplier
  • Recruitment: experience using an ATS, reviewing applications, screening candidates, and scheduling interviews, supporting annual reviews and probation check-ins
  • Systems: CRM user set up, CRM administration
  • Able to use Canva or similar design tools, and quick to pick up new software

Interview Process

A Teams video call, followed by a face-to-face interview and a final conversation with our CEO and Chief Events Officer.

  • Salary £42,000 to £45,000 (DOE)
