Position Summary

The Billing Analyst is responsible for supporting the organization’s revenue and billing operations through accurate invoice preparation, financial analysis, account reconciliation, reporting, and audit support. Under the general direction of the Billing Manager, this role ensures customer invoices are prepared in accordance with contractual agreements and organizational policies while maintaining the integrity of billing and revenue data.

The Billing Analyst collaborates closely with Business Operations, Accounts Receivable, Sales, Contracting, Fleet Operations, Logistics, and Accounting teams to resolve billing issues, research account discrepancies, and support month-end close activities. The position also plays a key role in revenue-related audits, transaction sampling, and system testing initiatives associated with billing and invoicing processes.

Essential Duties and Responsibilities

Billing & Revenue Management

  • Prepare and process customer invoices in accordance with contractual terms and billing schedules.
  • Review billing information for accuracy, completeness, and compliance with company policies.
  • Interpret customer contracts and related documentation to ensure proper invoicing and revenue recognition.

Financial Analysis & Reconciliation

  • Assist in maintaining accurate financial records and billing-related ledgers.
  • Perform account research and investigate billing discrepancies, variances, and customer inquiries.
  • Prepare reconciliations and reports to ensure accuracy and integrity of billing and revenue data.
  • Analyze billing trends and identify opportunities for process improvements.

Month-End Close Support

  • Assist with month-end and year-end close processes related to billing and revenue.
  • Support the preparation of financial schedules and reports for management review.

Audit & Compliance

  • Provide support for internal and external audit requests relating to revenue transactions.
  • Perform audit sampling and documentation gathering for billing and revenue activities.
  • Ensure billing records are maintained in accordance with company policies and audit requirements.

Systems & Process Improvement

  • Participate in billing system testing, implementation projects, and process enhancements.
  • Assist with validation of system-generated invoices and reporting outputs.
  • Support ERP and CRM integrations as they relate to billing functions.

Cross-Functional Collaboration

  • Coordinate with Business Operations, Sales, Contracting, Fleet Operations, Logistics, and other departments to resolve billing issues and ensure customer satisfaction.
  • Communicate effectively with internal stakeholders regarding billing status, account research, and process improvements.

Required Qualifications

  • Minimum of 2 years of accounting, billing, or finance experience in an automated business environment.
  • Experience with ERP (Enterprise Resource Planning) systems.
  • Ability to read, understand, and interpret sales contracts and related legal documents.
  • Strong analytical and problem-solving skills with attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • Ability to work independently and collaboratively within a team environment
  • Proficiency in Microsoft Office Suite (Word, Outlook, PowerPoint).
  • Intermediate Excel skills, including formulas, pivot tables, and data analysis.

Preferred Qualifications

  • Associate’s degree in Accounting, Finance, Business Administration, or a related field.
  • Experience with CRM systems, such as Salesforce.
