Position Summary 

This full-time temporary role (contract until March 31, 2027) supports the effective delivery of HR services across Mitacs by coordinating recruitment, employee lifecycle administration, HR operations, reporting, learning and development logistics, and employee experience initiatives. Working closely with members of the HR team, hiring managers, and employees, the role helps ensure HR processes are accuratetimely, consistent, and aligned with Mitacs’ values and commitment to service excellence. 

 

This position is well suited to someone who is highly organized, detail-oriented, collaborative, and motivated by supporting people-focused programs and practical improvements that strengthen the employee experience at Mitacs. 


 

Responsibilities 

Recruitment & Hiring Support 

  • Coordinate recruitment activities, including job postings, candidate screening, interview scheduling, reference checks, and new hire documentation. 
  • Support hiring managers with recruitment process information, tools, templates, and candidate communications. 
  • Coordinate onboarding and offboarding activities, including HRIS updates, payroll and benefits coordination, onboarding schedules, and exit interview scheduling. 

HR Operations and Reporting 

  • Maintain accurate employee records and support HRIS, payroll, benefits, and employee lifecycle administration. 
  • Coordinate logistics, materials, tracking, and follow-up for training, learning and development sessions, employee presentations, and HR-led initiatives. 
  • Track, compile, and report HR metrics and program information to support recruitment, workforce planning, learning and development, and employee experience priorities. 
  • Support routine employee leaves, benefits changes, accommodation coordination, and related employee lifecycle activities, escalating complex matters as appropriate. 
  • Support maintenance of HR policies, procedures, templates, and employee-facing resources to ensure information is current and accessible. 

HR Programs and Employee Experience 

  • Respond to routine employee inquiries through the EmployeeCare inbox and direct employees and managers to appropriate HR resources or team members. 
  • Provide coordination support for performance management, engagement, culture, and other HR projects and initiatives. 
  • Support employee internal communications and presentations related to HR programs, learning and development, and employee experience. 
  • Support HR programs and initiatives aligned with the HR Plan, including learning and development, employee experience, internal mobility, recognition, and One Mitacs culture. 
  • Identify opportunities to improve HR coordination processes, tools, templates, and employee-facing resources. 
  • Perform other related duties as required. 

 

 Experience and skills  

  • Bilingualism in English and FrenchKnowledge of written and spoken English and French is required in this role as you will interact with colleagues, clients, and stakeholders located across Canada.  
  • Post-secondary education in Human Resources, Business Administration, or a related field 
  • Minimum of 1-3 years of experience in HR coordination, administration, recruitment support or other HR functions.  
  • Demonstrated experience and ability to build effective working relationships across teams.  
  • Excellent verbal and written communication skills. 
  • Ability to handle sensitive and confidential information with professionalism and discretion.  
  • Strong attention to detail with ability to manage multiple priorities and deadlines in a fast-paced environment.  
  • Working understanding of employment standards, HR policies, and HR best practices.

Hiring Range: $46,875 - $59,375
