Program Operations and Engagement Specialist - 12 month contract.
Position Overview
We are seeking a highly organized and collaborative Program Operations and Engagement Specialist to support the Insights to Innovation (i2i) Program. This strategic program is designed to build innovation capabilities, strengthen customer-centric thinking, and support cultural transformation across the organization.
Working closely with the i2i Program Lead, this contractor will support the operational, communications, reporting, content, and community activities that keep the program running effectively. The role will help coordinate program cycles, workshops, design sprints, certification pathways, participant communications, and engagement initiatives while maintaining accurate records and accessible program resources.
The ideal candidate is proactive, detail-oriented, and comfortable managing several workstreams in a fast-moving environment. This person should be able to coordinate logistics, create polished content, maintain tracking systems, and provide a consistently strong participant experience.
Key Responsibilities
Program Operations and Coordination
- Support the day-to-day execution of program cycles, workshops, design sprints, and related activities.
- Coordinate schedules, logistics, participant communications, materials, and session requirements.
- Maintain program timelines and track milestones, dependencies, action items, and deliverables.
- Support facilitator readiness by preparing materials, confirming logistics, and coordinating session needs.
- Document operating procedures and maintain accurate program workflows and records.
- Identify potential scheduling, communication, or operational issues and raise them to the Program Lead.
- Participate in weekly program check-ins and provide clear updates on priorities, progress, and outstanding needs.
Presentation and Asset Development
- Create and refine executive, participant, and facilitator presentations.
- Develop visual assets such as one-page summaries, program updates, process guides, and storytelling materials.
- Organize complex information into clear, concise, and visually engaging content.
- Maintain consistency with the i2i program narrative, tone, visual identity, and brand standards.
- Incorporate stakeholder feedback and complete revisions within established timelines.
Certification and Learning-Path Support
- Coordinate administrative activities associated with certification processes and learning pathways.
- Track participant progress, completion requirements, and certification status.
- Maintain accurate certification records and supporting documentation.
- Communicate requirements, deadlines, and status updates to participants and program stakeholders.
Participant Tracking and Reporting
- Maintain participant databases, cohort records, attendance information, and engagement data.
- Track participant progression across program activities and learning pathways.
- Create and update dashboards, reports, and tracking documents.
- Prepare structured status summaries and reporting inputs for the Program Lead.
- Review program data for accuracy, completeness, and consistency.
Communications, Community Engagement, and Storytelling
- Draft newsletters, program announcements, participant updates, and other communications.
- Help coordinate community events, engagement activities, and participant touchpoints.
- Support initiatives that encourage participation and strengthen the i2i practitioner community.
- Collect, organize, and maintain participant testimonials and success stories.
- Develop written, visual, or basic video assets that demonstrate participant experiences and program impact.
- Support practitioner spotlights and other initiatives that amplify participant voices.
SharePoint and Knowledge Management
- Maintain and organize the program's SharePoint site, knowledge hub, and shared repositories.
- Upload, categorize, and update presentations, templates, communications, and supporting resources.
- Maintain a logical content structure so participants and stakeholders can locate current materials easily.
- Review repositories regularly to identify outdated, duplicated, or missing content.
Surveys and Insights
- Support the creation and distribution of participant surveys and feedback requests.
- Compile and review quantitative and qualitative participant feedback.
- Identify recurring themes, engagement patterns, and improvement opportunities.
- Develop survey summaries and structured reporting for the Program Lead.
- Contribute data and participant insights that support continuous program improvement.
Required Qualifications
- Experience providing program coordination, project support, program operations, or similar support within a business environment.
- Demonstrated ability to coordinate schedules, deliverables, communications, and logistics across multiple workstreams.
- Strong written and verbal communication skills.
- Experience creating presentations, program communications, reports, or other business content.
- Proficiency with Microsoft PowerPoint, Excel, Word, Outlook, and SharePoint.
- Ability to maintain accurate participant records, tracking documents, and reporting data.
- Strong organizational skills and close attention to detail.
- Ability to manage multiple priorities, stakeholders, and deadlines simultaneously.
- Sound judgment and the ability to work independently within the direction and priorities established by the Program Lead.
- Strong interpersonal skills and a participant-focused approach.
- Ability to collaborate effectively with facilitators, program participants, business leaders, and cross-functional partners.
- Comfortable working in an agile environment where program priorities and requirements may evolve.
- Ability to handle participant information and internal program materials with appropriate care and discretion.
Preferred Qualifications
- Experience supporting learning, certification, innovation, change-management, or employee-engagement programs.
- Experience coordinating workshops, facilitated sessions, or design sprints.
- Experience creating or maintaining dashboards and program-performance reports.
- Familiarity with survey tools and basic qualitative and quantitative feedback analysis.
- Experience managing SharePoint sites, document libraries, or internal knowledge hubs.
- Strong presentation-design and visual-communication skills.
- Experience developing newsletters, testimonials, case studies, or community-engagement content.
- Familiarity with basic graphic-design or video-editing tools.
