Position Summary:
The Benefits Systems Specialist is responsible for the ongoing maintenance, configuration, and operational support of benefits technology platforms for existing and established clients. This role focuses on back-end systems administration, renewals processing, workflow and configuration updates, ACA data management, troubleshooting system and data issues, and resolving plan setup errors.

The Benefits Systems Specialist works internally with Benefits Integration Managers, Benefits Specialists, Data teams, and Technology teams to ensure benefits systems remain accurate, stable, and aligned with plan design, carrier requirements, and renewal changes.

Key Responsibilities                                                                                                 

Benefits System Maintenance & Configuration

  •  Maintain and support existing benefits system configurations for established clients.
  • Update benefits plans, rates, eligibility rules, and workflows in alignment with annual renewals and mid-year changes.
  • Perform ongoing system updates related to plan design changes, carrier transitions, and regulatory updates.
  • Ensure accurate setup and maintenance of deductions, eligibility structures, and enrollment logic across benefits systems.

Renewals & Ongoing Change Support

  • Execute system updates associated with annual benefits renewals, including plan year rollovers, rate updates, and configuration changes.
  • Validate system readiness for renewal and Open Enrollment activity from a technical and data perspective.
  • Support post-renewal cleanup and stabilization to ensure configurations align with approved plan designs.

ACA Data Management & Compliance Support

  •  Maintain and validate ACA-related data within benefits and HR systems to support accurate downstream reporting.
  • Ensure ACA data is properly configured and available for handoff to internal Compliance processes and approved external ACA vendors.
  • Identify and troubleshoot system configuration issues or data discrepancies that may impact ACA reporting.

Troubleshooting & Issue Resolution

  • Investigate and resolve benefits system issues, plan setup errors, and data discrepancies
  •  Troubleshoot enrollment, eligibility, deduction, and ACA-related issues tied to system configuration or workflow logic.
  • Identify root causes of recurring issues and implement corrective system changes

Documentation & Continuous Improvement

  • Maintain accurate system documentation, configuration records, renewal change logs, and issue trackers.
  • Document changes related to renewals, ACA updates, plan changes, and system fixes.
  • Identify opportunities to improve system stability, data integrity, and compliance readiness.

Required Experience & Education

  • Bachelor’s degree in Human Resources, Business, Information Systems, or a related field
  • 2–4 years of experience supporting benefits administration systems, HRIS, payroll systems, or benefits technology
  • Experience maintaining benefits system configuration and supporting ongoing operational or compliance processes

Knowledge/Skills/Abilities

  • Strong understanding of employee benefits administration and plan setup.
  • Working knowledge of ACA requirements as they relate to system data configuration.
  • Experience troubleshooting system configuration and data integrity issues.
  • High attention to detail with strong analytical and problem-solving skills.
  • Ability to manage multiple system updates and priorities concurrently.
  • Strong documentation and process adherence skills.
  • Comfortable working in structured, back-end system environments.

Preferred Skills

  • PEO experience is a plus.
