Role: Marketing Assistant

Salary: Competitive Basic Salary

Benefits: HMO plus 2 Free Dependents, P1,500 Rice Allowance, Night Differential.

Shift schedule: 5-day work week, 10PM - 6AM, Philippine time

Work set up: WFH or WFO

Position Overview


New York-based retirement plan administration and recordkeeping firm is hiring a Marketing Assistant to support our leadership team and take ownership of day-to-day marketing, administrative, and technology tasks.


This is not a narrow, task-list position. We need someone who can learn our business, take direction well, and also think independently about how to do things better. The person in this role will be trusted to run with existing processes and to identify and propose improvements on their own, including new tools or approaches we have not yet considered.


Core Responsibilities

  • Answer and manage incoming phone calls professionally, routing or handling calls as appropriate.
  • Learn and take ownership of our core software: PandaDoc, eWay-CRM, MFiles, Zoom, Microsoft Office 365, and PensionPro/Workflow.
  • Create and update marketing materials, including one-pagers, brochures, presentations, and email content.
  • Make small updates to our WordPress website, including content, layout, and basic hosting-related changes.
  • Organize digital files and maintain clean, consistent document and folder structures.
  • Follow existing process documentation built in Scribe, and create new Scribe documentation for processes that are not yet documented.
  • Use AI tools to improve the speed and quality of daily work, and suggest new AI or software tools that could benefit the firm.
  • Take on tasks assigned directly by the Managing Partner and Strategic Development Manager, while also identifying additional ways to add value without being asked.

Qualifications:

  • Strong independent judgment. This person should be able to figure things out, not wait to be told every next step. Comfortable asking questions when something is genuinely unclear, but doesn't let a pending answer stall other work; keeps moving on what can be done in the meantime.
  • Fast learner with new software. Comfortable picking up new platforms with minimal training.
  • Working familiarity with WordPress and basic website hosting concepts.
  • Comfortable using AI tools (such as ChatGPT or Claude) as part of daily workflow.
  • Strong written and spoken English, since this role includes phone and client-facing communication.
  • Organized, detail-oriented, and comfortable managing multiple ongoing tasks.
  • Prior experience in marketing, administrative support, or executive assistance preferred.
  • Experience with CRM or document platforms (PandaDoc, eWay-CRM, or similar) is a plus but not required.



What Success Looks Like

Within the first few months, this person should be fully comfortable with our core software, reliably covering phones during NY hours, and producing marketing materials with minimal oversight. Beyond that, we expect them to start flagging inefficiencies, proposing better tools or workflows, and taking on more of the work that currently sits with leadership.
