Job description

This is a remote position.

KEY RESPONSIBILITIES:
  • Provide administrative support across multiple projects, ensuring tasks, timelines, and documentation are accurately maintained.
  • Manage calendars, meetings, and executive support requirements including scheduling, minutes, and follow-ups.
  • Maintain and organise project documentation, files, and records using Microsoft 365 and SharePoint.
  • Coordinate project workflows and task tracking using Asana or similar project management platforms.
  • Prepare reports, presentations, and project updates for internal and external stakeholders.
  • Assist with document control, version management, and compliance-related filing.
  • Support communication between project teams, contractors, clients, and suppliers.
  • Use AI tools such as ChatGPT, Claude, and Gemini to improve workflow efficiency, draft communications, and assist with reporting.
  • Monitor action items and deadlines, ensuring timely completion and escalation where needed.
  • Assist with general office administration and ad hoc project support as required.

Requirements

  • Proven experience in project administration, executive administration, or similar support roles.
  • Strong proficiency in Microsoft 365 (Teams, SharePoint, Outlook, Word, and Excel).
  • Experience using Asana or other project management systems.
  • Familiarity with AI tools such as ChatGPT, Claude, and Gemini for productivity and workflow support.
  • Excellent organisational skills with the ability to manage multiple tasks and priorities.
  • Strong document management, reporting, and record-keeping capabilities.
  • High attention to detail and problem-solving ability.
  • Strong written and verbal communication skills.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Experience in professional services, construction, property, or project management environments is preferred.
  • A proactive mindset with strong initiative and the ability to anticipate project needs.
