Job Role: Pre-Construction Administrator

Compensation range: $1400 AUD - $2000 AUD / Monthly

Engagement type: Independent Contractor Agreement

Work Schedule: Full-time, This role is expected to align with the AU business hours (approx. 9 AM - 5 PM, Monday to Friday) for collaboration, but as a contractor, you’ll have flexibility in how you manage your time.

Our client is a South Australian residential and commercial building company with over eleven years of experience driving innovation and quality in the construction industry. The team is passionate about building and has established a strong reputation for delivering exceptional service and quality to clients throughout every stage of the build process.

Role Overview: 

As our Pre-Construction Administrator, you will play a key role in guiding residential construction projects through the pre-construction phase. Working remotely as part of the Lofty team, you will manage documentation and administration for council applications, building contracts, and related processes, ensuring accuracy and efficiency to deliver a smooth experience for clients, vendors, and suppliers.

Key Responsibilities: 

  • Prepare contract letters, notices, and other documentation including build contracts, fencing notices, and council notices
  • Join virtual meetings to assess project progress and capture detailed notes to share with internal and external stakeholders
  • Review and update existing contracts and generate variations as needed
  • Track and ensure all deadlines and conditions outlined in contracts are met, including signed variations, finance approvals, and authority to commence
  • Maintain updated records, client files, and workflow spreadsheets, ensuring documents are saved in the correct file structure
  • Coordinate remotely with councils, engineers, and other consultants via email, phone, and video
  • Action all tasks, requirements, and requests in a timely manner as directed by the Operations Manager
  • Ensure all forms and approvals are complete in the job file prior to build commencement
  • Provide regular progress updates to clients on their project status
  • Manage email correspondence and handle general administrative tasks as required

Requirements

Required Skills and Qualifications:

  • Experience in a similar administrative or coordination role within residential construction
  • Familiarity with the pre-construction process and residential building documentation
  • A qualification in Construction Management, Business Administration, or a related field is desirable but not required
  • Highly organised with the ability to manage multiple projects and deadlines simultaneously
  • Strong written and verbal communication skills in English
  • Confident and professional communicator who can engage with clients, councils, and consultants
  • High attention to detail with a focus on accuracy across contracts and documentation
  • Experience with construction management software and Microsoft Office (Word, Excel, Teams)
  • A genuine focus on delivering great outcomes for clients

  • You will supply your own laptop and agree to Lofty loading relevant programs and security software on your device
  • Must be available during Adelaide business hours (ACST/ACDT)
  • Available for Microsoft Teams meetings with video as needed throughout the working week
  • Required to review and agree to Lofty's policies relating to Intellectual Property, Privacy, and Security
