Job description

The Executive Assistant will provide high-level administrative support to the executive team, ensuring efficient operation and communication within the organization. This role requires exceptional organizational skills, attention to detail, and the ability to handle sensitive information with discretion. The ideal candidate is proactive, resourceful, and able to manage multiple priorities in a fast-paced environment.

Administrative Support:

  • Manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and edit correspondence, reports, presentations, and other documents.
  • Handle incoming and outgoing communications on behalf of the executive.

Meeting Coordination:

  • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items.
  • Ensure meeting materials are prepared and distributed in advance.

Travel and Expense Management:

  • Arrange travel itineraries, accommodations, and transportation for the executive.
  • Process expense reports and ensure timely reimbursement.

Project Management:

  • Assist in managing and tracking projects, ensuring deadlines are met and deliverables are completed.
  • Coordinate with internal and external stakeholders to facilitate project progress.

Confidentiality and Discretion:

  • Handle sensitive information with the utmost confidentiality and discretion.
  • Maintain a high level of professionalism in all interactions.

Relationship Management:

  • Build and maintain positive relationships with internal and external stakeholders.
  • Act as a liaison between the executive and other team members.
  • Bachelor's degree in Business Administration, Communications, or a related field.
  • 3-5 years of experience as an executive assistant or in a similar role.
  • Exceptional organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to work independently and prioritize tasks effectively.
  • High level of discretion and confidentiality.
  • Strong problem-solving skills and attention to detail.
