Job description

We are seeking a highly organized and detail-oriented Medical Administration Specialist to support multiple medical centres across New South Wales, AU. This role is responsible for managing medical correspondence, patient records, call overflow, debtor follow-up, and various administrative functions. The successful candidate will be cross trained across several areas of the business and play a key role in supporting doctors, clinic staff, and patients.


Key Responsibilities

  • Manage and action incoming emails and medical correspondence.
  • File and maintain accurate patient records within the practice management system.
  • Forward correspondence and reports to the appropriate doctors.
  • Provide call overflow support for multiple clinics.
  • Follow up outstanding patient accounts and maintain debtor records.
  • Process and file healthcare compliance documentation.
  • Deliver accurate, timely, and efficient administrative support across multiple functions.

Qualification

  • 2+ years of experience in medical administration, medical transcription, or a healthcare-related role.
  • Strong understanding of medical terminology.
  • Excellent communication and typing skills.
  • Exceptional attention to detail and accuracy.
  • Strong organizational and time management skills.
  • Experience using Best Practice or similar practice management software is highly desirable.
  • Background in nursing, pharmacy, allied health, or medical sciences is advantageous.
  • Ability to learn multiple processes and work effectively in a fast-paced environment.

Technical Requirements (Independent Contractor Role)

  • Reliable laptop/desktop (with at least one backup device)
  • Noise-cancelling headset (for interviews and meetings)
  • Stable internet connection with a backup (minimum 100 Mbps)
