We're Hiring: HubSpot Expert / Sales & Marketing Virtual Assistant (Full-Time)
Remote | up to 60,000/month | 9:00 a.m. 5:00 p.m. Melbourne Time

Are you fluent in HubSpot and thrive in an organized, fast-paced environment? We're looking for a proactive and fluent English-speaking Virtual Assistant to support CRM operations, marketing campaigns, and sales activities.

About the Role:
This full-time role supports the daily management of HubSpot CRM, including data entry, automation workflows, onboarding sequences, and lead tracking. You'll also assist with marketing efforts like email campaigns and social media scheduling, while providing administrative support to a busy executive.

Key Responsibilities:

HubSpot CRM Management

  • Clean and maintain contact records (e.g., format phone numbers with +61)

  • Set up and manage pipelines, automations, and workflows

  • Track lead activity via forms and email interactions

  • Create onboarding sequences and follow-up reminders

  • Monitor integrations (Shopify, social, 3CX, Boss app)

Sales Support & Admin Assistance

  • Make warm calls and respond to client inquiries

  • Follow up with leads and track CRM tasks

  • Prioritize executive tasks and send reminders

  • Act as a proactive assistant offering updates and insights

Marketing Coordination

  • Assist in developing campaigns that include email, social media, and blog content

  • Schedule and automate EDMs, social posts, and newsletters

  • Monitor engagement and collaborate on improvements

Documentation & SOPs

  • Document automation and workflow processes

  • Create SOPs for recurring tasks and new systems
