Roles & Responsibilities

  • Bachelor's degree required, preferably in agriculture, business, logistics, or related field; accounting, event planning, or management experience helpful.
  • Five years paid experience coordinating in a business environment, or 2-3 years work experience at Georgia Farm Bureau required.
  • Proven ability to relate to and work with various people in a professional manner; ability to handle confidential material; excellent written and verbal communication skills.
  • Proficiency in written and spoken English; basic computer skills; valid Georgia Driver's License (and ability to receive other licenses or credentials as required).

Requirements:

  • Manage day-to-day departmental activities in consultation with the Director and program staff; coordinate office operations and outside meetings to ensure efficient workflows.
  • Plan and execute department events and travel arrangements, including transportation, accommodations, menus, materials, letters, vendor billing, parking, and post-event reporting.
  • Assist in developing operating and future program budgets; monitor adherence to budget requirements for programs; assist with time-sensitive tasks, department reports, member registrations, project management, and nominations.
  • Facilitate internal and external communications; coordinate inter- and intra-department communications; maintain routine correspondence and respond with appropriate urgency; represent the organization positively; may require night/overnight/week-long meetings.

DESCRIPTION OF ESSENTIAL DUTIES:

OFFICE MANAGEMENT & COORDINATION

  • In consultation with the Director and the appropriate program area staff, manage the day-to-day departmental activities.
  • Event planning for various department functions & meetings (annual department events, GFB member trips, conferences, etc.) Planning responsibilities include but are not limited to: transportation, menu preparation, developing event materials, preparing letters, securing hotel accommodations, airline booking, vendor billing, parking, post-event reports, etc.
  • In consultation with the Director, assist in the development of an operating budget and future program budgets. Assist in the planning and adherence of budget requirements when carrying out programs of work.  
  • Develop and schedule staff responsibilities and outside meetings so work can proceed efficiently.
  • Assist with the completion of time sensitive tasks, department reports, member registrations, project management, and member nominations.
  • Must have the ability and initiative to carry out duties with a minimum amount of supervision.
  • Must be able to handle multiple tasks at one time.
  • A high level of organization, time management, and attention to details is required to be successful in this role.

COMMUNICATION/INFORMATION

Assist with inter and intra office communications. 

  • Responsible messaging when staff is out (having a sense of the level of urgency in a message).
  • Work well with other departments, county Farm Bureaus, and members.
  • Routine written correspondence as requested by the Director.

OTHER RESPONSIBILITIES/REQUIREMENTS:

  • Attend required meetings and conduct oneself in a way that will further the goals of Georgia Farm Bureau.
  • The employee may be expected to attend meetings at night, often overnight, sometimes for a week at a time.
  • The employee must have a valid Georgia Drivers’ License at all times and be able to receive other licenses or credentials as required for this job.
  • Must be able to fly to distant locations for meetings on occasional basis.
  • Generally, represent the organization in a positive manner.

QUALIFICATION, EDUCATION AND EXPERIENCE REQUIREMENTS: 

  • Bachelor’s degree required, preferably in agriculture, business, logistics, or related field; accounting, event planning, or management experience helpful.
  • Five years paid working experience in a coordinating role in a business environment, or 2-3 years work experience at Georgia Farm Bureau required.
  • Proven work record, attendance record, ability to handle confidential material.
  • Proven ability to relate to and work with various people in a professional manner.
  • Excellent telephone, public relations, and oral/written communication skills are required.

LANGUAGE SKILLS

  • Proficient in written and spoken English.
  • Ability to interpret a variety of instructions furnished in written, oral, or schedule form.

COMPUTER SKILLS

  • Must possess basic skills with personal computer, experience with basic computer programs.SUPERVISORY RESPONSIBILITIES:

None.

PHYSICAL DEMANDS/WORK ENVIRONMENT:

  • The employee must sit for long periods of time, frequently stand, walk, and stoop, and use hands and arms to manipulate controls and reach for things and regularly lift or move things up to 20 pounds.
  • The employee must be able to talk and hear and vision is required for close and distant work.
